PURPOSE OF POSITION: The Administrative Assistant provides administrative support to Deer Valley Resort’s leadership team, reporting directly to the Executive Coordinator while supporting other senior leaders as needed. This role ensures efficient operations, seamless communication, and consistent organization across departments. The Administrative Assistant manages complex schedules, coordinates cross-functional initiatives, oversees key administrative programs, and supports business-related tasks only to optimize leaders’ time and effectiveness. Acting as a trusted partner, this position maintains confidentiality, anticipates needs, and keeps the leadership team focused on strategic priorities. 

 

RESPONSIBILITIES: 

Leadership & Executive Support 

  • Manage and coordinate calendars for the leadership team, including scheduling meetings, resolving conflicts, and ensuring optimal time management 

  • This position provides business-related support only 

  • Draft, review, and send communications on behalf of leaders; maintain a professional and consistent communication style 

  • Organize and prepare for meetings by gathering materials, creating presentations, and supporting logistics 

  • Take, distribute, and track follow-up for meeting minutes and action items 

  • Coordinate travel arrangements and logistics for executives, external visitors, and VIP guests 

  • Maintain the resort-wide leadership out-of-office calendar 

Operational & Administrative Support 

  • Provide monthly auditing support and serve as the primary contact for the corporate credit card program 

  • Oversee corporate contract and vendor agreement administration, ensuring accuracy, compliance, and timely execution 

  • Manage annual insurance compliance documentation and maintain permits, licenses, and business registrations 

  • Facilitate communication and collaboration across departments to support smooth leadership operations 

  • Coordinate annual Hotel/Vendor Pass agreements and other recurring administrative programs 

  • Support executive budget coordination and help manage administrative expenses 

  • Assist with corporate donations, scholarship fund administration, and other recurring resort programs 

General Resort Administration 

  • Ensure confidential and discreet handling of sensitive information and business documents 

  • Manage the resort shredding program, including invoicing, scheduling, and SOP compliance 

  • Perform other duties as assigned to support the leadership team and resort operations 

 

QUALIFICATIONS: 

  • Minimum of 3 years of experience providing administrative or executive support 

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software tools 

  • Excellent written and verbal communication skills 

  • Strong organizational skills, exceptional attention to detail, and the ability to juggle multiple priorities 

  • Adaptability to thrive in a fast-paced, dynamic environment 

  • Ability to lift, carry, or move up to 30 pounds occasionally 

  • Flexibility to work evenings, weekends, and holidays as business needs require 

  • Ability to respond promptly to time-sensitive communications outside of standard business hours 

 

PAY RATE: 

  • Pay: $25.00 - 30.00 per hour
