Relocation Project Manager/Planner

Position Summary

The Relocation Project Manager/Planner serves as both the planning representative between Corporate Real Estate & Workplace Services (CREWS) and business units, and the execution lead for workplace moves, reconfigurations, and small projects. This role manages the complete project lifecycle from initial client consultation and planning through final execution and closeout. The Relocation Project Manager/Planner partners cross-functionally with Facilities, IT, AV, Security, vendors, and business stakeholders to deliver space solutions that meet business needs while optimizing workplace efficiency and ensuring compliance with organizational standards.

Essential Duties and Responsibilities

Planning & Client Partnership

  • Serve as primary planning liaison between CREWS and business stakeholders

  • Build and maintain strong client relationships, proactively assisting in achieving business objectives

  • Understand client business needs and verify project requirements

  • Validate work orders and project requests with Real Estate Advisory and CREWS teams

  • Coordinate all requests with OP/WPS to confirm workplace alignment

Project Management & Scope Development

  • Collaborate with requestors and Function Strategic Business Partners to define project scope

  • Utilize established funding processes (PSW) to secure funding approvals

  • Establish project timelines, meetings and milestones including project stakeholder/SME meetings

  • Source and secure all vendors, POCs, and additional resources

  • Manage all plan and budget approvals

  • Create comprehensive project packets for implementation including SOW, before and after plans, move lists, etc.

  • Ensure compliance with corporate standards and local building codes

Workplace Planning & Space Management

  • Manage and track customer workplace requests including:

    • Conference room setups

    • Special workspace configurations

    • Decommissioning (decoms)

    • Moves, furniture swaps, and reconfigurations

    • Executive support and special requests

  • Support migration planning and workplace change initiatives:

    • Room function changes

    • Workstation conversions

    • Capacity changes (supply/demand)

  • Review and validate detailed programming requests

  • Complete test fits and special requests within team allocations

  • Develop final scope of work and executable documentation (working drawings)

  • Support room and workstation planning, including signage and workplace standards

Project Implementation & Execution

  • Implement all moves, reconfigurations, and small workplace projects

  • Verify project scope, details, furniture pull lists, and timelines prior to implementation

  • Manage project scheduling including:

    • Project packet receipt and stakeholder meetings

    • Work hour restrictions identification and security notifications

    • Proper work request submissions (safety authorizations, etc.)

    • Onsite crew management scheduling including vendors, IT, AV, Housekeeping, etc.

    • Collaboration with warehouse team on furniture pulls and RTS

  • Execute move list surveys to validate information accuracy

  • Coordinate site dispositions and manage full RFP process for moves and decoms

Project Tracking & Communication

  • Track move and project progression from initiation through completion

  • Provide project updates with photos in project Slack channel

  • Establish and conduct Day 1 follow up

  • Coordinate any modifications during execution

  • Mark up as-built redlines and submit to CAD team upon project completion

  • Attend all project calls including USAA, JLL, or other 3rd party hosted calls

  • Provide onsite supervision of all moves, projects, or work orders

Building Operations & Support

  • Conduct regular floorplate audits and art inventory surveys

  • Support Furniture Management Team with recommendations for furniture dispositions

  • Assist Occupancy Planning (OP) team with floorplate surveys for station, office and conference room counts

  • Assist PM team with EVAC map surveys and support broader JLL initiatives

  • Engage with client to secure proper badge accesses for secure areas during projects

Administrative & Operational Tasks

  • Weekly updates to the front door, Maximo queue, and Archibus queue

  • Manage IT and AV engagement processes

  • Schedule MAC/move/decom/IT teams as needed

  • Validate Archibus submissions and issue moves

  • Audit floor seating, distribute move lists, order crates/dollies

  • Print and place tags, directionals/temporary signage, instructions, and placards

  • Review, reconcile, and validate vendor invoices for accuracy and compliance

  • Submit zero deficit spreadsheet and create child work orders within RPM Front door

  • Coordinate client requests partnering with AV, Minor Construction, and Security teams

  • Manage project follow up and close out process including closeout of all POs

Training & Process Improvement

  • Train existing and new Move Coordinators in their roles and responsibilities

  • Conduct Move Coordinator Training and Lessons Learned Reviews

  • KPI and CSAT follow up

  • Support Artwork Requests

  • Field all client questions and direct them to appropriate resources

Tools and Process Dependencies

  • Maximo (work order coordination)

  • Archibus (move submission and planning)

  • FIMSGo/rpmrequest (front door intake)

  • Project Scope of Work (PSW Box funding approval process)

  • IT Support Engagement (JIRA)

  • AV Support Engagement (email)

  • Minor Construction Process

  • CoSA Advisory Committee

  • Campus Occupancy Planning (COP)

Education and Experience

  • 3+ years of experience in facilities, move management, workplace operations, space planning, workplace strategy, or project coordination

  • PMP or similar certification preferred

  • Experience managing workplace moves, adds, and changes (MAC)

  • Experience working with construction, AV, IT, and security teams

  • Experience in corporate real estate or large campus environments

Required Skills and Abilities

  • Strong written and verbal communication skills

  • Knowledge of building codes and workplace standards

  • Familiarity with AutoCAD, space planning software, or IWMS platforms

  • Proficiency in planning tools and space management systems

  • Strong organizational and time management skills

  • Strong understanding of project lifecycle management and budgeting processes

  • Ability to manage multiple concurrent projects in a fast-paced environment

Work Environment and Physical Requirements

  • Primarily office-based in a corporate environment with regular interaction across departments

  • Periodic on-site presence in active construction or renovation areas

  • Fast-paced environment with multiple concurrent projects and shifting priorities

  • Ability to sit or stand for extended periods while working at a computer

  • Frequent walking of office floors and facilities to conduct space reviews, site walks, and project assessments

  • Ability to travel between buildings or campus locations as needed

  • Occasionally lift and/or move items up to 25 pounds (e.g., plans, small furniture pieces, materials)

  • Ability to access construction or renovation areas, which may require personal protective equipment (PPE)
