Job Summary

Iron Mountain is seeking a disciplined Records Officer to join our Records and Information Management team. In this role, you will be responsible for managing the complete lifecycle of both physical and digital records, ensuring strict compliance with customer policies and relevant government regulations. This includes file management at offsite storage facilities, as well as managing records within the customer's Electronic Document and Records Management System (EDRMS).

What You’ll Do (Responsibilities)

In this role, you will:

  • Manage the complete records lifecycle—from file appraisal, sentencing, and archiving, through to the final destruction of physical and digital records—in compliance with customer procedures and the National Archives of Australia (NAA) requirements.

  • Collaborate with offshore business areas and internal teams to manage incoming physical and digital file consignments and ensure the accurate upload and return of files to the customer's EDRMS.

  • Ensure compliance with all internal and external governance by conducting regular quality assurance, monthly auditing, and annual reviews of sentenced records.

What You’ll Bring

The ideal candidate will have:

  • Proven ability to obtain and maintain an Employment Suitability Clearance (ESC) and a minimum BASELINE security clearance prior to commencement.

  • Strong knowledge of records and information management principles, including file appraisal, sentencing, and disposal in accordance with the National Archives of Australia (NAA) instructions and guidelines.

  • Proven ability in attention to detail and disciplined workflow management to accurately handle large volumes of physical and digital file processing, scanning, and quality assurance.

  • Proficiency in working within an Electronic Document and Records Management System (EDRMS).
