Job Description:

Provide daily support to the Real Estate Department, Portfolio Administration, and Property Projects; assisting with vital ongoing daily needs, which includes organizing and attending meetings, clerical daily activities allowing the Portfolio Administration Team to work on projects and more complex activities and providing assistance to the Sr. Director of Real Estate.

Major Responsibilities:

  • Provide daily support for the Real Estate Department
  • Review one-time expenses, verify validity and process through Basware (also process Property Project one-time invoices in Basware).
  • Route documents for signature, draft letters to send for full execution and send them out.
  • Invoice tenants with their pro-rata share of expenses, reconcile tenant’s monthly estimates and obtain COIs from the tenants.
  • Request new vendors and vendor changes including verifying the Ach account information.
  • Request COIs for new leases or new landlords.
  • Sort, scan and send mail for the department.
  • Draft security deposit refund request letters and follow up on the refunds.
  • Assist with boxes going to and from Iron Mountain.

Minimum Education & Certifications Required:

  • College classes

Experience & Skills Required:

  • Proficient with word processing, spreadsheet, and Microsoft Products.
  • Proficient user of database applications.
  • Math skills including percentage calculations and reconciliations
  • Must be detail oriented

Physical Requirements & Working Conditions (include amount of travel):

Incumbents must be able to move about the office and between floors; utilize standard office equipment; and communicate effectively and efficiently in person or by telephone.
