Purchasing & Inventory Specialist

Role Summary 

The Purchasing & Inventory Specialist is responsible for managing and optimizing AmeriVet’s end-to-end procure-to-pay (P2P) operations across a multi-hospital environment. This role ensures purchasing system functionality, inventory governance, invoice accuracy, and operational compliance while driving standardization, automation, and continuous improvement. 

This position serves as a key operational bridge between hospitals, Finance, Accounts Payable, IT, and vendors, with a strong focus on usability, controls, and data integrity in a clinical setting. 

 

Core Responsibilities

Procure-to-Pay Systems  

  • Manage system onboarding including Vendors, Users, and Locations 

  • Ensure accurate pricing, contracts, budgets, and spend controls loaded into system 

  • Design, implement, & maintain ordering guidance, alerts, & automations  

  • Act as primary point of contact for issues impacting hospital P2P Functions 

  • Partner with IT, AP, and vendors to troubleshoot and resolve system or integration disruptions 

  • Identify opportunities to enhance system performance and user experience 

 

Procure-to-Pay Operations 

  • Oversee P2P process within Amerivet Procurement Systems 

  • Monitor purchasing behavior to identify savings gaps, compliance, risks, and training needs 

  • Serve as escalation point for P2P support & disruptions 

  • Support hospital users with best practices for compliant and efficient purchasing 

 

PO Receiving Management 

  • Monitor receiving compliance to support three-way matching and prevent payment delays 

  • Partner with hospitals, AP, and vendors to resolve discrepancies related to receipts 

  • Establish and reinforce receiving accountability and best practices across locations 

  • Partner with Leadership to ensure accurate accruals recognized at period close  

 

Vendor Invoice Management 

  • Monitor submission of invoices from P2P system to AP, ensuring no disruptions with workflow 

  • Collaborate with AP to resolve discrepancies and reduce invoice exceptions 

  • Partner with AP and leadership on non-PO invoices routed to AP, identifying opportunities to reduce non-PO invoice activity 

  • Drive process improvements to improve invoice accuracy and submission timing 

  

Inventory Support 

  • Support Operational teams in Physical inventory counts, including guidance on methodology and expectations 

  • Monitor inventory activity for trends, errors, and inconsistencies 

  • Partner with Operational Leaders on inventory recounts, audits, and shrink analysis 

 

Documentation, Training & Communication 

  • Develop and maintain job aids, SOPs, and other content related to procurement/Inventory  

  • Lead training and enablement for hospital teams and corporate users  

  • Own procurement communications, including updates, process changes, and best practices 

 

Key Skills & Competencies 

  • Strong understanding of procure-to-pay operations in a multi-site healthcare or veterinary environment 

  • Proven ability to manage purchasing systems and support frontline operational users 

  • Highly organized with strong attention to detail and follow-through 

  • Ability to influence without direct authority across hospitals and JV partners 

  • Clear, concise communicator with the ability to train non-corporate audiences 

  • Data-driven mindset with a focus on controls, compliance, and scalability 

 

Qualifications 

  • Bachelor’s degree in Supply Chain, Business, Finance, or related field (or equivalent experience) 

  • 5+ years of procurement, supply chain, or P2P operations experience 

  • Experience supporting healthcare, veterinary, or multi-location service environments preferred 

 

Measures of Success 

  • Purchasing system adoption and compliance rates 

  • Vendor onboarding accuracy and cycle time 

  • Reduction in PO receiving and invoice exceptions 

  • Inventory count accuracy and variance reduction 

  • Quality and consistency of hospital training and documentation
