Proposal Coordinator, GCC-Assurant
The Proposal Coordinator manages the full lifecycle of RFP responses for Assurant’s Connected Living business. This role facilitates cross-functional collaboration, oversees content development and revision, ensures timely delivery, and drives improvements in the proposal process. The coordinator acts as the central communication point between Marketing and stakeholders across the enterprise, ensuring each submission reflects our strategic goals, differentiates Assurant in the market, and meets all submission requirements.
This position will be in Hyderabad/Bengaluru/Chennai at our India location.
Working Hours: 3:30 PM IST- 12:30 AM IST
What will be my duties and responsibilities in this job?
- Tracking and managing RFP intake.
- Collaboratively identifying subject matter experts and other key RFP response contributors and managing them through the authoring and revision process.
- Tracking contributors’ progress, working across teams to facilitate timely completion of all requirements and deliverables.
- Capturing, documenting and distributing team feedback, ideas and direction following working sessions, brainstorming, and discussion.
- Managing document revision and versions.
- Collaboratively identify supplemental assets that help Assurant differentiate its response to critical submissions (e.g., presentations, personas, videos, etc.). Coordinate creation of all related assets, ensuring accuracy and alignment to RFP win strategy.
- Assembling individual RFP response sections into cohesive, final public-facing documents.
- Ensuring that all RFP requirements are satisfied by the final document.
- Managing and providing input on the internal processes by which the above work is completed.
60% - Cross-team communication, collaboration & coordination
- Function as the point person on behalf of the marketing team throughout the RFP intake and completion process
- Manage multiple teams and stakeholders to their assigned deadlines
- Document feedback and discussions, and distribute in written form to all team members following meetings and working sessions
- Capture all action items and responsible parties resulting from such meetings and working sessions
- As a marketing team member, contribute constructively to discussions pertaining to marketing, strategy, and winning new business.
20% - Process management
- Take ownership of the process by which RFPs are taken in, created, revised and delivered; includes rolling out and driving adoption of RFP proposal management software
- Identify opportunities for improving this process
- Champion and evangelize the process outside of the marketing team
20% - Relationship management
- Building relationships across teams and with the internal stakeholders who contribute to the RFP response process
- Functioning as the marketing team representative when reaching out to other teams.
- Foster supportive and friendly relationships across teams, including accepting feedback from other teams and immediately raising their concerns with the marketing team.
- Proactively anticipated marketing team needs to be embodying the marketing teams open-door policy.
What are the requirements needed for this position?
- Three to five (3-5) years of experience managing complex, multi-pronged projects with 10-50 stakeholders
- Extremely organized with an instinct for thinking on one’s feet and finding solutions on the fly.
- Comfortable managing multiple workstreams simultaneously and collaborating with the multiple people and personalities behind the work.
- Comfortable and confident enough to communicate with senior colleagues on a daily basis, helping them focus as needed, and facilitating the timely delivery of their deliverables.
- Interest in growing into a role in project management and/or organizational dynamics, with a passion for finding efficiencies in the way teams operate on a day-to-day basis.
- Interest in marketing, business strategy and/or persuasive writing is also helpful.
What other skills/experience would be helpful to have?
- Three to five (3-5) years’ experience in project management, new business or account/relationship management preferred
