GreenTree Property Management, a Veritas Investments company, is seeking experienced Building Manager to join our team!
POSITION SUMMARY: The Property Manager – Third Party is a hybrid operational role designed to support small and mid-size multifamily owners through hands-on building oversight, resident relations, vendor coordination, and day-to-day property operations. This position functions as the primary point of contact for owners, residents, and vendors, combining the field execution of a Building Manager with the operational accountability of a junior Property Manager. The role emphasizes responsiveness, cost control, unit turn execution, compliance, and owner communication while ensuring buildings are maintained to company standards and ownership objectives. Unlike traditional internal portfolio roles, this position requires a high-touch service mindset, strong follow-through, and the ability to manage multiple smaller assets with varying owner expectations.
ESSENTIAL DUTIES & RESPONSIBILITIES
Owner & Client Management
Serve as the primary operational liaison between ownership, residents, vendors, and internal teams
Provide regular updates to owners regarding vacancies, maintenance, expenses, and property performance
Respond to owner inquiries promptly with professional, solutions-oriented communication
Assist in implementing ownership business plans and operational priorities for each asset
Support budgeting, cost tracking, and operational reporting with oversight from senior leadership
Property Operations & Building Oversight
Act as first point of contact for all property-related issues across assigned portfolio
Conduct routine property inspections to ensure cleanliness, safety, and code compliance
Manage work orders from submission through completion and verification
Maintain strong key control and coordinate vendor access as needed
Post required notices (24-hour notices, 3-day notices, etc.) in accordance with company policy and local regulations
Process move-ins and move-outs in coordination with Leasing and Resident Services teams
Greet new residents and perform a building orientation tour with upon move-in
Ensure building security, common area standards, and operational consistency across all sites
Maintenance, Vendors & Unit Turns
Coordinate maintenance requests, vendor dispatch, and service follow-ups
Solicit and evaluate vendor bids for repairs and small projects
Ensure unit turnovers including scope, scheduling, and completion timelines are handled through company centralized process
Monitor vendor performance to ensure work is completed efficiently and to company standards
Approve invoices and verify completion of work prior to payment processing
Identify preventative maintenance needs and escalate capital items as appropriate
Financial & Performance Support
Assist with expense tracking, invoice approvals, and cost control initiatives
Support rent-ready pipeline management and vacancy turnaround timelines
Coordinate with accounting on A/R, delinquencies, and operational documentation
Contribute to revenue maximization through timely unit readiness and operational efficiency
Provide data and reporting to senior leadership and ownership as required
Compliance, Risk & Administrative Responsibilities
Monitor building violations and coordinate timely resolution
Ensure properties operate in compliance with local housing, safety, and rent regulations
Maintain accurate records in Yardi, Salesforce, HappyCo, and other company systems
Support legal processes including notices, documentation, and coordination with Resident Services
Represent management professionally during inspections, site visits, and owner walkthroughs
Technology & Systems Utilization
Utilize company platforms including Yardi,
Elise.AI, Salesforce, Smartsheet, HappyCo, and internal dashboards
Maintain accurate work order, inspection, and turnover documentation
Ensure real-time visibility into property operations and service requests
SKILLS & COMPETENCIES
Strong customer service and client-facing communication skills
Excellent organization and time management with ability to manage a heavy, scattered-site workload
High accountability and follow-through
Strong problem-solving and vendor coordination abilities
Ability to balance owner expectations with operational realities
Basic financial acumen (budgets, expenses, cost control)
Professional written communication suitable for third-party clients
QUALIFICATIONS
1–3 years of property management, building management, or related multifamily experience preferred
Experience with scattered-site portfolios strongly preferred
High school diploma required; college degree preferred
Valid California Driver’s License and reliable vehicle required
Experience with Yardi or similar property management software preferred
California Certified Resident Manager Certification (or willingness to obtain) preferred
