The ExxonMobil-NTU-A*STAR Corporate Lab at ERI@N (Energy Research Institute @ NTU) is a S$60 million research collaboration between NTU, A*STAR, and ExxonMobil to advance lower-emissions technologies.
We are seeking a Project Officer / Senior Project Officer to provide dual-function support to the Corporate Lab. On the administrative side, the role assists the Project Manager with grant reporting, budget tracking, milestone records, meeting coordination, and correspondence with NRF, A*STAR, and ExxonMobil. On the laboratory operations side, the role is responsible for managing chemical inventory, conducting safety audits, maintaining safety documentation (SOPs, Risk Assessments, SDS), ensuring all lab users comply with NTU EHS protocols and WSH regulations, and coordinating equipment maintenance and lab housekeeping. The successful candidate will help maintain a safe, organised, and compliant research environment for 50+ researchers across five research programmes.
Key Responsibilities:
Maintain accurate and up-to-date records of project deliverables, KPIs, milestones, staffing lists, and IP disclosures for all five Corporate Lab research programmes.
Coordinate logistics for Corporate Lab governance meetings, technical review sessions, and stakeholder visits — including agenda preparation, venue booking, meeting minutes, and follow-up on action items.
Manage and maintain the Corporate Lab's chemical inventory: ensure all chemicals are properly labelled, stored, tracked, and disposed of in accordance with NTU EHS guidelines, the Singapore Workplace Safety and Health (WSH) Act, and relevant regulatory requirements.
Serve as the Laboratory Safety Officer for the Corporate Lab: conduct regular safety audits and inspections of laboratory spaces, identify hazards, and escalate findings to the Project Manager and ERI@N Safety Officer.
Ensure all laboratory users — including researchers, postdoctoral fellows, postgraduate students, and visiting personnel — complete mandatory NTU EHS safety training, induction programmes, and site-specific safety briefings before commencing laboratory work.
Maintain and update all safety-related documentation including Standard Operating Procedures (SOPs), Risk Assessments (RA), Chemical Safety Data Sheets (SDS), and the laboratory safety register, ensuring full compliance with NTU EHS policies.
Coordinate the procurement, maintenance, and servicing schedule for laboratory equipment and instruments, liaising with vendors and NTU's facility management teams as required.
Manage laboratory access control: maintain an accurate and current register of all authorised laboratory users, and ensure proper onboarding and offboarding procedures are followed.
Assist with the general upkeep and housekeeping of the Corporate Lab's physical spaces, including coordinating with NTU facilities management for repairs, renovations, and waste disposal.
Handle any other administrative or operational duties as assigned by the Project Manager or ERI@N management in support of the Corporate Lab's operations.
Assist the Project Manager in the day-to-day administration of the Corporate Lab, including preparation and coordination of progress reports, annual reports, milestone updates, and formal correspondence with the Implementing Agency (NRF), A*STAR, and ExxonMobil.
Support budget tracking and financial administration tasks: maintain expenditure records, process purchasing requests, coordinate reimbursement claims, and assist with financial reconciliation reports under the guidance of the Project Manager.
Job Requirements
Bachelor's degree in Science, Engineering, Chemistry, EHS, or related field.
Minimum 2–3 years of experience in laboratory management and/or research administration.
Knowledge of laboratory safety regulations and chemical inventory management (WSH Act, NTU EHS).
Experience with safety documentation: SOPs, Risk Assessments, Safety Data Sheets.
Good organisational, communication, and administrative skills.
