Project Coordinator
The Project Coordinator is responsible for coordinating and ensuring the smooth implementation of projects and related operations for Mueller’s Smart Water Infrastructure business, specifically in the areas of non-invasive acoustic technologies for underground pipeline water leak detection, monitoring and condition assessment. The role includes overseeing various processes throughout the project lifecycle. The successful candidate will demonstrate strong written, verbal communication and organizational skills. The Project Coordinator will be the operations team liaison with sales, legal, risk management, finance and customer service.
Additionally, this role involves providing project support including facilitating project status meetings, invoicing support, field work, and contract administration to ensure project success. Finally, the role involves event planning and team-building initiatives.

Required Education & Experience:
- University Degree in Engineering – Environmental, Civil, or Mechanical preferred.
- 1-3 years of experience in project coordination
- Interest in Project Management principles
- Demonstrated ability to build trust with diverse stakeholders and work independently
- Client Facing experience is an asset
- Ability to travel within North America
- Valid G Driving License
Required Knowledge, Skills, Abilities and Other Competencies:
- High level of proficiency with Microsoft Office suite
- Superior verbal and written communication skills
- Ability to work well in a team environment
- Ability to handle multiple tasks in parallel in a fast-paced environment
Responsibilities:
- Project Coordination for all Operations projects
- Conduct weekly team project status meetings and provide monthly invoicing requests
- Keep accurate record of meeting minutes for all internal and external project kick-off meetings
- Update and maintain all project management and field operations SOPs as required
- Prepare various project reports
- Support with customer satisfaction surveys and response tracking
- Proactively identify opportunities for continuous improvement in internal processes and systems related to the Operations function, and take the initiative to implement these enhancements
- Oversee warranty tracking and monitor the health of our leak detection sensor system
- Coordinate new subcontractor set up
- Perform project shipping and receiving tasks and maintaining field equipment in the warehouse
- Fieldwork
- Conducting ePulse acoustic condition assessment measurements of water mains
- Installing permanent leak detection sensors on water systems
- Administrative duties such as time tracking, expense tracking and subcontractor coordination
- Work in compliance with the Mueller Water Products Code of Conduct and all Environmental, Health and Safety regulations
- Team and Event Coordination
- Support managers hosting events for training, customer visits and team building
- Assist with logistics and coordination for employee engagement and appreciation activities
- Contract Administration
- Track contracts using Contract Management System to ensure legal department review and approval in accordance with the company’s contract review process
- Ensure relevant stakeholders review and provide feedback for proposals and legal contracts
- Participate as needed during contract negotiations working with Legal and other stakeholders
- Build collaborative working relationships with key internal stakeholders: legal department, risk management, finance, sales, and operations
- Maintain vendor registration information for customer’s vendors’ portals
- Research and provide any administrative support surrounding prevailing wage contract requirements in collaboration with the legal department, ensuring that at the time of contract signing all necessary wage determinations, training or other items have been proactively determined
- Able to coordinate bid bonds, performance bonds and similar instruments
- Other legal, contractual, and administrative tasks as needed
- Other duties as assigned by management.
Core Competencies:
- Advanced communication skills (written and verbal), with proven ability to express complex ideas in a simple logical manner
- Strong organizational skills to break down a complex project into manageable tasks and prioritize them
- Proficient computer skills and advanced knowledge of Microsoft Office suite including Excel, Word and PowerPoint
- Knowledge of contract law is an asset
- Knowledge of corporate or project finance is an asset
Working Conditions:
- Office environment (75%)
- Fieldwork Outdoors (25%) - training or project on site activities to manage and support pipeline monitoring systems or condition assessment projects
- Travel within North America as required for training and fieldwork
Physical Requirements:
- The employee will be required to perform the following actions (from time to time): Standing, Walking, Balancing, Stooping, Kneeling, Reaching, Talking, Seeing, Hearing, and Sitting. The majority of the actions will be sitting.
- Ability to lift and push heavy objects; ability to lift to 50lbs
- Ability to climb stairs, ladders and similar structures, and the ability to work on uneven surfaces
- Ability to perform outdoor work in all weather conditions
Salary/Pay Range:
$50,465.00 - 66,935.00 CAD
The compensation range above reflects a good-faith estimate of starting base pay for full-time (40 hours per week) employment as of the date of posting. Individual compensation may vary depending on a variety of factors, including, but not limited to, the role, professional experience, job-related skills, achievements, and/or work location. The range listed is only one component of the total compensation package offered to candidates.
