Department: Meditz College of Arts & Sciences Dean’s Office
Primary Work Location: Fairfield Campus
Direct Supervisor: Director of Operations and Budget Manager
Basic Function:
Assist the College of Arts and Sciences Dean’s Office by providing administrative support with specialized projects; manages the process for adjunct contracts for the College of Arts and Sciences; assist with the management of annual catalog updates; performs office-related operational functions; and provides assistance in special projects and/or events.

Education: Associate Degree or higher preferred or equivalent office experience
Experience: A minimum of 5 years of office experience is required. A strong ability to work and communicate with others is essential, requiring well-developed interpersonal, organizational, and problem-solving skills with strong customer service and attention to detail. The ability to work independently and carry tasks through to completion. To plan and anticipate yearly workflows and work closely with Chairs and Directors, as well as the Dean’s Office. Proficiency with Microsoft Office (including Excel, Word, and Outlook), as well as an aptitude for learning new systems and tools.
Essential Functions:
Manages the College of Arts and Sciences Adjunct Contract Hiring Process. This involves:
obtaining adjunct teaching loads for fall and spring semesters through department chairs and/or department coordinators for all College of Arts and Sciences undergraduate and graduate programs
communicating and providing guidance to department chairs, department coordinators and adjunct faculty to obtain adjunct teaching loads for fall and spring semesters
onboarding of new adjunct faculty—collecting required documentation for new adjuncts, updating pertinent information into our Workday system
generating contracts, requesting payroll, and initiating workflows through the University’s Workday system
creating adjunct reporting as needed, including number of sections and compensation
Manages Academic Catalog Revisions for Meditz College.
This involves:
copying the current catalog content into editable Word documents for department review
reaching out to department chairs and program directors to request updates and edits
submitting and monitoring ITS tickets to the Registrar for any course updates
entering content edits into CLSS for each assigned page
Manges Summer Housing for Student Research Opportunities. This involves:
soliciting faculty requests, organizing roommate requests, maintaining current information on programs, identifying student participation, and working with the Office of Conference and Event Management regarding fees and dates of stay.
Work with the Director of Operations and Budget Management on available budget and payments for summer housing
Provides general office support. This involves:
drafting of committee minutes for the Arts and Sciences Curricular Committee
support director of Interior Design
front office coverage/support as needed
Participates in the professional development of the College of Arts and Sciences. This involves:
communicating effectively with the College Deans concerning pertinent program, departmental and University matters
promoting an image of efficiency and courtesy consistent with the University mission
participating in staff meetings as requested
supports the Individually Design Major once a semester meeting minute
Work Schedule:
12-month role
