Job Summary: The Program Support Assistant serves for the Pathology & Laboratory Medicine Service (PLMS) Administration. The Program Support Assistant is directly responsible to the Administrative Officer, PLMS, who will do performance evaluation. The Program Support Assistant will perform a variety of administrative duties delegated by the PLMS Management team member (Chief of Service, Chief Medical Technologist, Administrative Officer).

Major Duties:

  • Provides customer support services such as answering the telephone, answering the door, properly addressing callers' need to refer them as need be to appropriate department or individual. Assists with visitors, following up on work orders or providing information about the laboratory service, its functions and standard operating procedures. Provides transcriptions of surgical, cytology and/or autopsy reports on a daily basis to include clinical histories, gross descriptions, diagnoses, cancer protocols, with knowledge of medical terms, proper grammar, CPT coding verification on VISTA. Obtains access to systems, equipments, or need supplies to perform duties for employees. Maintains log of locker assignments and department keys for over 20 offices, cubicles, and filing cabinets. Assists with work orders and follows up with completions. Receives, sorts, and distributes all incoming mail for the service on a daily basis. Acts as primary or alternate timekeeper for Pathology & Laboratory Medicine Service. The incumbent will post time-cards daily, keep overtime and compensatory time records of approval, run exception reports and follow up on all prior pay exceptions. Confirms CPT codes, properly file daily surgical and cytology reports follows with consultations sent and received, keeping a file of these as well as of legal cases. Designs, organizes, and maintains accurate and current PLMS filing management record system following National Directives, federal and accrediting agencies requirements to address, time and attendance, quality management and process improvement documentation and anatomic pathology records. Evaluates and prepares quarterly payroll audits. Populates and is backup for emergency management employee communication process. Assist in gathering data and analytical information as requested from P&LMS records. Work Schedule: Monday to Friday (8:00am - 4:30pm) Virtual: This is not a virtual position. Qualifications: To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/30/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. This position requires a typing requirement of 40 words per minute. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization.
