POSITION SUMMARY: The Program and Administrative Assistant will provide general office and clerical support, including clerical, accounting, logistics, and administrative support, The Actions to Strengthen Systems to End Trafficking (ASSET) program, funded by the United States Department of State (DoS) and implemented by Winrock International (WI). The goal of the program is to strengthen Turkmenistan’s national systems to prevent and respond to trafficking in persons (TIP) and eliminate forced labor (FL).
Essential Responsibilities
- Assist in the planning, preparation, and organization of project activities
- Assist in conducting events, maintaining registration lists, evaluation forms, coordination with event management agencies, photo sessions by participants, coordinating the work of translators, coordinating the work of journalists for press coverage.
- Assist in obtaining price quotations and purchase of equipment, office supplies and stationery as needed
- Assist to coordinate with suppliers to maintain printers, internet, network, and other equipment
- Provide and facilitate the logistical and administrative needs of the office and staff which includes copying and scanning of documentation and arrangement of documents for reporting purposes.
- Assist in maintaining the filing system of finance and admin documents
- Assist in maintaining the system for recording of official correspondence
- Assist inputting data in various databases, such as NGO government system, project monitoring and evaluation for grantees, consultancy and vendors.
- Accompany Country Coordinator to meetings with stakeholders, grantees
- Arrange and participate at the meetings, appointments with project partners, taking notes, meeting minutes, translation
- Providing administrative and program support and assisting other staff members as required
- Assist to coordinate, monitor, including via monitoring visits to velayats, and collect monthly plans and reports from sub-awardees
- Handle travel arrangements, which includes arranging hotel stays, transportation ensuring compliance with donor travel regulations and Winrock policies
Qualifications
- University degree (Associate or higher) or equivalent experience
- Fluency in Russian, Turkmen and working level competency in English language required.
- Two years of experience in administrative and office support a plus
- Experience with data entry and administrative office responsibilities
- Understanding of office management, logistics, procurement, and administration.
- Ability to manage multiple tasks and priorities under pressure, and attention to detail
- Proficiency with Microsoft Excel, Word and Outlook applications
- Ability to maintain the highest ethical standards at all times.
FINANCIAL TERMS AND CONDITIONS
The consultant will be engaged on a part-time basis (50% LOE) under a fixed-term consultancy agreement for an initial period of six (6) months.
Payments will be made monthly, upon submission and approval of deliverables and timesheets by the ASSET Project Director.
All applicable local taxes and social contributions are the responsibility of the consultant.
