Job Description:
The Division of Pre-College and Undergraduate Programs is responsible for developing and offering non-credit and credit courses and programs for over 6,000 high school students, as well as Brown University undergraduate and Visiting Students from other institutions. Students participate in programs on Brown University’s Providence campus, as well as online and in other locations domestically and internationally. Within the Division, there are teams of staff who are responsible for marketing, admissions, enrollment, academic content, instructional delivery, student life, finance, human resources, payroll, and the various policies and protocols associated with this work. Staff work closely with colleagues from across the University to ensure success, including the Registrar’s Office, the Office of Information Technology, and Facilities Management.
This position is a member of a team of Program Advisors who provide outreach and advising for the Division of Pre-College and Undergraduate Programs, delivering timely, accurate, and detailed information to students, parents, instructors, and other constituents who inquire about program-related information throughout the year. The position builds rapport with students and their families, serving as a consistent support and bridge to attendance. A Program Advisor is responsible for understanding and synthesizing both the general educational offerings of the Division and the details of each process to best communicate with and support constituencies as needed. This work requires a significant capacity to think critically in response to a variety of queries. Responsibilities include advising on application status and answering detailed questions about the application process, registration procedures, campus life, and community and academic standards. The incumbent is responsible for implementing the outreach and advising communications plans that are developed with the Marketing and Enrollment Services Team. Advisors ensure efficient and effective workflow of inbound customer inquiries and outreach activities using various communication methods, including email and phone. A Program Advisor represents the programs through their daily work, as well as in recruiting and onboarding events. Potential for local travel, as needed (optional).
In addition, each Program Advisor has responsibility for supporting specific services and will also assist with supporting other programs and services, as needed. During the fall, Program Advisors complete projects aligned with improving programming and operations across the Division.
Responsibilities include:
Provide Inquiry and admissions support and advising (40%)
Provide onboarding support and advising (40%)
Support enrollment data collection and reporting, resulting in proactive student outreach and advising efforts. (10%)
Support planning and decision-making for the Division by working on independent projects in the fall, as assigned by the Assistant Director of Student & Partner Engagement. (10%)
QUALIFICATIONS
Education/Experience
Bachelor’s Degree and 1-2 years of experience or equivalent of education and experience required.
Significant customer service experience, preferably in an academic environment
Excellent oral communication proficiency; exceptional English language skills, bilingual a plus but not required
Superior computing abilities, including Microsoft Office Suite, Google Apps for Education, and basic technology troubleshooting experience required
Experience working with CRM and other student systems preferred
Competencies
Ability to problem-solve effectively
Strong ability to multitask and adapt to change
Proficient in drafting professional, well-written email communications
High degree of patience and capacity to respond pleasantly and professionally, no matter the circumstances
