About the Role
We’re looking for a Professional Services Operations Manager to own and evolve the operating system of our growing paid services organization.
As delivery complexity increases, reactive processes and manual workflows no longer scale. This role brings structure, financial rigor, and systems thinking to ensure predictable services revenue, margin protection, accurate forecasting, and scalable delivery execution.
This is a hybrid strategic and operational role: approximately half of the time will be focused on hands-on operational management and financial processes, with the remainder focused on scaling systems, automation, and long-term operational design.
Core Responsibilities
1 · Operating Model & Revenue Architecture
Own the end-to-end Services operating model from services scoping through revenue recognition and post-implementation handoff.
- Standardize project intake, contracting, milestones, and billing triggers
- Own month-end close support including revenue reconciliation, accrual validation, delivery reporting, and variance analysis in partnership with Finance
- Manage contract pipeline tracking and ensure data integrity across systems to support reliable forecasting and financial reporting
- Strengthen invoicing accuracy, collections tracking, and contract data governance
- Improve cross-functional handoffs across Sales, Services, Customer Success, Finance, and Implementation Partners
2 · Forecasting and Capacity Tracking
Establish a trusted decision-support layer for Services leadership.
- Build forward-looking forecasting models connecting pipeline, sold work, staffing, delivery hours, and hiring signals
- Define and track core KPIs (utilization, margin, project health, forecast accuracy, time-to-value)
- Establish and run the Services operating cadence: weekly delivery reviews, forecast checkpoints, and quarterly reviews
- Implement early-warning indicators for budget overage and timeline overruns
- Align resource allocation with skill mix, pipeline risk, and margin targets
3 · Systems & Tooling Architecture
Design and optimize scalable Services systems ecosystem
- Align CRM, CPQ, ERP, and Services systems to ensure accurate revenue recognition, invoicing, and reporting
- Define a unified data model to create a single source of truth across performance, capacity, margin, and backlog
- Evaluate and implement tooling enhancements, including AI-driven project health and margin risk insights
What We’re Looking For
- 3-5 years of experience in operations, consulting, or business analytics in a SaaS or implementation-driven environment
- Modeling expertise in Pigment, EPM-style financial planning, or similar tools
- Experience with Salesforce and professional services time-tracking tools preferred
- Strong analytical capability: hands-on forecasting, margin analysis, and capacity modeling
- Proven ability to simplify complex workflows into scalable operating systems
- Clear cross-functional communicator across Sales, Finance, Customer Success, and Delivery
- Comfortable operating in high-growth, high-change environments
