The Procurement Operations Specialist I serves as a primary point of contact for Pinterest teams navigating purchasing and contracting activities. You’ll be a subject matter expert on procurement workflows and controls, ensuring purchases move quickly while remaining compliant with Pinterest policies and approval requirements.

You’ll partner closely with Sourcing, Legal, IT/Data Security, Privacy, Vendor  Onboarding, Accounting, FP&A, and other XFN teams to provide a seamless user experience. Using tools like Zip and Ironclad, you’ll review intake requests, make sure the right approvers are engaged, and confirm the correct financial controls are in place before contracts are released for signature.

What you’ll do:

  • Act as a front-line point of contact for employees initiating purchases or contracts, offering clear, end-to-end guidance on the contract-to-procure process and delivering a high-quality, customer-focused experience.
  • Translate complex procurement, legal, and financial requirements into simple, user-friendly guidance.
  • Review Zip intake submissions and related documentation for completeness and accuracy, ensuring:
    • Correct approvers and review teams are engaged based on value and risk.
    • Agreement types and contract details (including dates) are accurate and aligned.
    • Appropriate budget approvals are in place before releasing contracts for signature.
  • Provide centralized oversight across the contract-to-procure process to reduce operational, financial, and compliance risk.
  • Act as a power user of Zip and related tools, flagging system issues and partnering with FinTech/technical teams on fixes and improvements.
  • Leverage AI and automation (where available) to draft communications, summarize requests, spot patterns, and streamline manual steps, with a focus on making the process faster and more accurate.
  • Identify process bottlenecks and user pain points, and recommend improvements that reduce cycle time, improve data quality, and enhance the overall user experience.
  • Support Procurement and Finance with data gathering and ad-hoc reporting on spend, cycle time, and policy adherence.

What we’re looking for:

  • Experience in procurement operations, contract operations, procure-to-pay, or a related finance/operations function.
  • Familiarity with end-to-end purchasing processes, including intake, approvals, contracting, PO creation, invoicing, and payments.
  • Strong attention to detail with the ability to review contracts and intake forms for completeness, accuracy, and policy alignment.
  • Excellent written and verbal communication skills, with the ability to support non-expert stakeholders.
  • Proven ability to manage multiple requests, prioritize effectively, and meet time-sensitive deadlines.
  • Comfort working cross-functionally with Sourcing, Legal, IT/Data Security, Privacy, Finance, and other XFN partners.
  • Preferred Qualifications
    • Experience using contract lifecycle management (CLM) tools (e.g., Zip and Ironclad) and/or procure-to-pay systems, as well as tools like DocuSign, Jira, Asana, and Slack, to manage workflows, approvals, and collaboration.
    • Understanding of core finance concepts, including accounting, budgeting/FP&A, purchase orders, and vendor management.
    • Background in process design, continuous improvement, or operations (e.g., identifying and implementing process efficiencies).
    • Prior experience in a fast-paced, high-growth, or technology environment supporting global stakeholders.

In-Office Requirement Statement:

  • We recognize that the ideal environment for work is situational and may differ across departments. What this looks like day-to-day can vary based on the needs of each organization or role.
  • This role will need to be in the office for in-person collaboration 1-2 times every 6-months and therefore can be situated anywhere in the country.
