Salary Payrate: $18.42 hourly

Basic Function and Responsibility:

Supervise all clerical preparation and processing of delinquent land tax, service of process, and execution of court orders to maximize efficiency, ensure compliance with court operational rules, department operational rules, and timely processing of returns. 

Appointing Authority and Supervision Received

The court administrator is the appointing authority.  The accounting supervisor receives direct supervision by the assistant director of the department.

Supervision Exercised:

This position is directly responsible for the supervision of the account clerks.

Characteristic and Assigned Duties: (The following duties are representative of the position and do not include all duties which may be performed.)

  • Provide leadership, direction, guidance, and coaching to staff in all aspects of day to day operations and decision making.
  • Schedule, assign, guide, and monitor the daily work of staff in the maintaining, processing, and distribution of all work assigned.
  • Identify and respond to performance issues, policy violations, legal issues and employment law matters.
  • Participate in decisions and make recommendations on employment, retention, progressive discipline, and related personnel activities.
  • Answer procedural questions for staff and advise when new procedures are instituted.
  • Approve and transfer service returns in the judicial information systems database for all field staff.
  • Create and maintain spreadsheets for reporting purposes of staff and department workloads and efficiency.
  • Keep abreast of court clerk handbook, supreme court rules, court policies, procedural changes, and regulations.
  • Delete errors from the judicial information systems database made by clerical staff.
  • Review, match and approve check balances of cashing sessions for accuracy before deposits.
  • Timely and accurately identify errors in records and determine the necessary corrections.
  • Coordinate and reassign job tasks during employee absences.
  • Meet and consult with the assistant director and/or director concerning issues or concerns with the clerical staff. 
  • Conduct monthly meetings with all clerical staff.
  • Initiate a request to fill a position, screen, and interview applicants, and recommend a suitable candidate for hire.
  • Provide training and cross-training to all new hires and clerical staff. 
  • Assist in developing and maintaining training guides for all clerical positions.
  • Coordinate and ensure all newly hired clerks receive the necessary security clearances, accesses, and training. 
  • Respond and handle escalated telephone calls, emails, and other communications, including meeting with the public in person relating to questions or concerns.
  • Performs other duties as required.

Knowledge, Skills, and Abilities:

  • Knowledge of court procedures and policies, legal documents, laws and legal terminology pertaining to the court.
  • Knowledge of the organization, operations, functions and scope of authority in the assigned area of the court.
  • Knowledge of modern office practices/procedures and skill in operation of standard office equipment.
  • Ability to understand and follow oral and written instructions.
  • Ability to make work decisions in accordance with laws, regulations and departmental policies and procedures.
  • Ability to maintain a variety of complex records and prepare reports from such records.
  • Ability to plan, assign and supervise the work of subordinate employees engaged in a variety of activities.
  • Ability to establish and maintain effective working relationships with internal and external stakeholders from diverse cultures and backgrounds.
  • Ability to communicate clearly and concisely, verbally and in writing, in a tactful and courteous manner with diverse parties.

Minimum Qualifications:

High school diploma or equivalent plus four years of clerical experience.
