DESCRIPTION:
Join Thermo Fisher Scientific as a Portfolio Operations Analyst and support cross-functional programs that enable our customers to make the world healthier, cleaner and safer. The incumbent will serve as the system and reporting specialist for portfolio tooling and financial actuals coordination within PSG IT.

This role is accountable for:

  • Maintaining Planview as the single source of truth

  • Ensuring data accuracy, completeness, and system integrity

  • Coordinating Actuals & Reporting (AR) processes with Finance

  • Delivering accurate, timely operational portfolio reporting

This is a hands-on functional administrator role, not a strategic portfolio, intake, or financial decision-making position. The role does not own investment decisions, savings targets, financial strategy, or intake prioritization. Instead, it ensures that portfolio data and actuals are accurate, audit-ready, and decision-supportive.

Primary Responsibilities

1. Planview Administration & System Ownership (Primary Focus)

  • Serve as the functional administrator for Planview across PSG IT.

  • Maintain system configuration including:

    • Fields, workflows, templates, and governance controls

    • Financial structures and classifications (as directed by Finance/PMO)

    • Security roles and access controls

  • Ensure Planview reflects approved portfolio structures and standards.

  • Manage system data integrity including:

    • Schedule updates

    • Resource allocations

    • Financial fields

    • Status reporting

  • Partner with IT/system teams on:

    • Tool enhancements

    • Integrations

    • Defect resolution

    • Automation improvements

  • Troubleshoot user issues and resolve system data discrepancies.

  • Support system testing and release validation for Planview updates.

  • Maintain Planview documentation, job aids, and standard operating procedures.

2. AR (Actuals & Reporting) Coordination

  • Coordinate monthly financial actuals uploads and reconciliation activities.

  • Partner with Finance to:

    • Load actuals into Planview

    • Validate CapEx/OpEx classifications (as provided by Finance)

    • Reconcile actuals vs. forecast

  • Perform variance validation checks prior to reporting.

  • Track and resolve discrepancies between Planview and financial systems.

  • Ensure monthly AR cycle deadlines are met.

  • Maintain AR audit documentation and reconciliation evidence.

  • Escalate material inconsistencies to PMO Director and Finance.

This role ensures financial data integrity — it does not set budgets or manage savings strategy.

3. Portfolio Data Quality & Integrity

  • Maintain high data accuracy standards across Planview.

  • Conduct recurring data quality reviews including:

    • Missing schedule updates

    • Incomplete financial fields

    • Outdated milestones

    • Resource misalignments

  • Identify and correct root causes of recurring data issues.

  • Enforce standard data entry practices across portfolio teams.

  • Maintain a clean, consistent reporting data environment.

  • Prepare portfolio data for audit and compliance reviews.

4. Portfolio Reporting & Dashboard Support

  • Produce standardized monthly and quarterly portfolio reports.

  • Maintain Planview dashboards including:

    • Delivery status

    • Financial actuals vs forecast

    • Milestone tracking

    • Risk summaries

  • Ensure reports are:

    • Accurate

    • On-time

    • System-derived (minimize offline manipulation)

  • Support ad-hoc data pulls and reporting requests.

  • Continuously improve report automation within Planview.

This role provides reporting accuracy — not portfolio interpretation or executive decision authority.

5. Operational Governance Support (Tool-Focused)

  • Ensure governance artifacts within Planview remain current.

  • Support status cycle tracking and reporting cadence adherence.

  • Track action items related to system or reporting gaps.

  • Provide data extracts to support governance forums.

  • Maintain RAID entries at the system level when required.

The role supports governance execution but does not own governance strategy.

6. User Enablement & Operational Support

  • Train Portfolio Leads on Planview usage standards.

  • Provide guidance on:

    • Data entry requirements

    • Financial actuals processes

    • Reporting timelines

  • Act as the first line of support for Planview functional questions.

  • Develop quick-reference guides and training materials.

  • Promote consistent system adoption and discipline.
