People & Culture Officer - Recruitment & Administration

Key Responsibilities:

Recruitment

  • Coordinate and facilitate recruitment process for Full-time employee
  • Support Hiring Managers in raising requisition and position for new roles on workday with the support of the Talent Acquisition Coordinator
  • Advertising new vacancies through the designated job placement website and local sources.
  • Pre- screen application for roles on workday to assist hiring managers in the shortlisting process.
  • Make written, cognitive, numerical test arrangements, scoring test papers, scheduling and arranging interviews along with the panel committee.
  • Ensure proper pre-screening is done for top candidates prior to interview
  • Assist with interviews for junior, officer casual role as assigned by Talent Acquisition Coordinator
  • Conduct and ensure proper reference check, background check and medical check, Block Party Check (Watchdog Pro, Misconduct scheme) of the selected candidates.
  • Draft and extend Job offers and also prepare employment contracts for the new employees and ensure it signed by P&C Director, National Director and employee.
  • Ensure proper hiring process is completed for staff on work ensuring emails are created during the process
  • Create New Employee Files and use file checklist to ensure that all necessary documentation is attached in the file (e.g., employment contract, job description, policy acknowledgements, etc are saved on workday
  • Ensure that all hiring and recruitment processes are carried out with full transparency and in alignment with the WV PNG Policies.
  • All staff information regarding salaries and other amendments and contents of contracts are filed in a confidential manner.

  • Coordinate and facilitate recruitment process for part-time employee
  • Facilitate the hiring of casuals based on the need of the project or department for Area programs and other field office

 

Contract Management

  • Ensure full-time contracts are done in line with WV quarterly renewal schedule
  • Ensure casual contract extensions for the area program are done in a timely manner
  • Ensure all employees on probation are managed at the end of probationary period in accordance with hiring managers feedback
  • Ensure all employees on contract are managed at the end of the contract in accordance with HR policies and procedures.

Administration

  • Ensure the HR Talent Acquisition Coordinator is informed of any anomalies immediately

  • Ensure all staff ( full-time, casuals, consultant, secondment etc) ID cards are up to day in line with approved contract

  • Keeps an up-to-date list of staff database (Casual staff list, , staff Audit tracker, ID card tracker, Probationary tracker)

Maintain an updated staff database (WorkDay) enduring each employee’s accurate personal information

 

  • Update PCIS/HRIS with all details in the required fields – Pilot program WV PNG

  • Update staff information correctly relating to the changes of status in employment or any other amendments to employee personal files on workday

Christian Commitment

  • Encourage the full and appropriate expression of WV’s Christian identity
  • Participate in and lead devotional meetings as required
  • Assist in the annual staff week, Annual Day of Prayer and other events

EDUCATIONAL QUALIFICATION/SKILLS, KNOWLEDGE & EXPERIENCE

  • Minimum 2 years of experience in t Human Resource and or Administration with NGO
  • Demonstrate knowledge in HR practice, including recruitment, contract management, HR functions and systems administration
  • Experience using workday or any other HRIS system
  • Experience working with people of different nationality
  • Certificate / Diploma in Human Resource or Business-related field
  • Strong Planning and organization skills
  • Must be familiar with using MS office Suite and teams for communication
  • Ability to priorities and handle multiple tasks. 
  • Able to work gracefully under pressure and in situations of insecurity and uncertainty.
  • Excellent written and verbal communication and relational skills, especially in a cross-cultural environment, and ability to analyze and solve problems, persuade, network and negotiate
  • Must be familiar with using MS Office Suite, and Skype for communication.
  • Able to work as part of a team as a positive contributor / encourager
