Payroll Specialist

Position Overview: 

The Payroll Specialist will be based in our growing Montreal office and report to the Global Payroll Manager. They will provide support to all offices in the region and be part of the global HR team. We’re looking for a detail-oriented candidate to own the day-to-day payroll processing across the U.S., Canada plus any new AMER jurisdictions that are launched while contributing to global payroll projects as and when required. The ideal candidate will also bring great analytical skills, stakeholder responsiveness in a people first focused team. They must be able to manage regular conflicting priorities, prioritize that work and have the ability to plan and track projects.

Payroll Support:

  • End‑to‑end payroll processing for all AMER This will include, but is not limited to, onboarding, offboarding and payroll changes across weekly/biweekly/semi‑monthly cycles (imports, validations, corrections, retro’s, approvals, confirmations, funding and filing).
  • Be integral in the year end preparation to ensure that Internal Tax/Finance teams have the required information they need to close out year-end sufficiently.
  • Tax and statutory compliance working knowledge and willingness to learn and develop their knowledge to support the Global Payroll Manager and wider Global Payroll team.
  • Vendor coordination with ADP or any other Payroll vendors to ensure files are changed on time, queries are dealt with promptly and appropriate follow through is managed. Any triage needed with internal HRIS team and further investigations. Support for other Global payrolls as and when needed/required.
  • Manage the Payroll email inbox coordinating items for Global team and ensuring matters related to AMER are responded to within agreed to SLAs.
  • File, organize and archive electronic documentation for Compliance and audit readiness.

Projects and Special considerations:

  • Support with the Global Payroll transformation project documentation and Project Tracker updates
  • Support in all Statutory and internal/external audit documentation and information gathering.
  • Partnership with HR/HRIS/Legal/Benefits and Finance is key to ensuring accuracy of data and good quality relationships to ensure smooth flow of work.
  • Research the latest information and communicating that information to support with having a continuous improvement mindset within the team.
  • Preparation and auditing of data for systems integrations and any payroll interfaces.
  • Manage and continual review of processes, the process notes and mapping, procedure documents, policies, etc.
  • Participate in global projects where needed.
  • Any other tasks assigned by payroll leadership.

Required Qualifications:

  • Degree or sufficient work experience with a minimum of 2 years’ Payroll experience required
  • Experience with Workday & ADP Workforce Now highly preferred
  • Strong prioritization and time management skills.
  • Self-motivated and disciplined individual with advanced analytical skills.
  • Effective communication, relationship-building, and responsiveness to stakeholders are vital
  • Excellent written and verbal skills, including strong presentation skills.
  • Proficiency with Microsoft Excel and other office suite products.
