Position Summary:
Reporting to the Team Leader, Human Resources, the incumbent is responsible for the full cycle bi-weekly payroll for approximately 500 employees (union and non-union), reporting requirements and all administration that supports the benefit plans, and RRSP/DPSP program. The role includes active involvement in the configuration, maintenance, and continuous improvement within the HCM (Workday). This includes supporting system updates, optimizing workflows, troubleshooting issues, and collaborating with stakeholders to ensure efficient and compliant payroll operations.
Position Responsibilities:
Accountable for the full cycle bi-weekly payroll processing for hourly and salaried employees.
Ensure payroll procedures are in compliance with regulatory requirements and the applicable collective agreement.
Set up new employees in the Payroll system and maintain payroll employee information (salary adjustments, vacation and accrual changes, tax changes, deposit updates etc.).
Assist with configuring and maintaining business processes in Workday, including integrations, workflows, and security roles.
Support end users through analysis, and if necessary, re-creation of the issue to determine the root cause (i.e. system configuration, data integrity, network, etc.) and provide resolution to the end user.
Troubleshoots and test system issues by identifying root cause and correcting issue to prevent recurrence.
Serves as the subject matter expert for HCM data, system/business process configuration, and reporting.
Monitor payroll approvals and exceptions on a bi-weekly basis prior to payroll transmission.
Work with Finance on reconciliation of payroll & benefits-related GL accounts, reporting and audits.
Perform daily and bi-weekly payroll administration (adjustments, garnishment, run payroll processes, hires, terminations, ROE, etc.).
Respond to employee benefit and payroll related inquiries.
Process and remit payments to 3rd party vendors/organizations (Sun Life, WSIB, Manulife, garnishments, etc.).
Monitor all payroll related statements and follow up on any discrepancies (WSIB, EHT, and CRA).
Responsible for month and year-end reconciliation of payroll accounts and reporting as required (including the EHT and WSIB annual return).
Prepare/process year-end tasks (i.e. T4’s, amendments, T4A’s, etc.).
Keep abreast of payroll, benefits, and RRSP/DPSP legislation changes.
Make recommendations and manage system related issues and enhancements.
Responsible for weekly, monthly, quarterly and ad hoc reporting requirements (including headcount, vacation, time off, and RRSP reports).
Special projects and HR administrative back up when required.
Other HR Tasks as assigned.
Qualifications:
College diploma in Business Administration, Finance or Human Resources.
PCP designation an asset.
5 years of payroll experience preferred, including 3 years of experience with employee benefits and RRSP/DPSP programs.
Experience supporting payroll for both unionized and non-unionized employee groups, with knowledge of averaging pay practices is considered an asset.
Excellent knowledge of Employment Standards, Canada Revenue Agency, and Ministry of Finance legislation.
Hands-on experience with Workday Payroll & HCM modules is strongly preferred.
Experience in configuring Workday business processes and security roles is an asset.
Well organized, detail orientated, analytical and ability to problem solve.
Excellent interpersonal, oral, and written communication skills.
Ability to deal proactively with all levels of management, and vendors.
Ability to tactfully and confidentially liaise with employees and benefit providers.
Proficient in MS office applications (excel, word and PowerPoint).
