Part Time - Nursing Admissions and Retention Specialist

Support admissions, retention, and student success in the School of Nursing. These services include recruitment, School of Nursing admissions, new nursing student orientation, student success activities, academic advising for pre-nursing, nursing-interested, and in-program nursing students, and compliance with campus and school policies and accreditation standards.

Primary Duties and Responsibilities:

Advising

  • Provide academic advising for pre-nursing (primary advisor), nursing-interested (secondary to academic advisor), and in-program nursing students (secondary to faculty advisor), including their academic plans and progress, academic schedule, choice of major, and other academic activities and career goals, to assist the student in making decisions concerning personal educational goals leading to graduation
  • Maintains most current knowledge of nursing program admission criteria, application process, and program handbook.
  • Design, maintain and disseminate new/updated advising resources for students and faculty in collaboration with dean, including Advisor to Success worksheet.
  • Keep up to date on changes in general education and program requirements.
  • Demonstrate strong commitment to student development and success through advocacy, positive attitude, adaptability, approachability, problem solving, and support.  
  • Demonstrate developmental academic advising that assists students in clarifying personal and academic career goals through the use of appropriate student development, human development, and student learning theories.
  • Assist students in interpreting and understanding placement scores, program curricula, and pre-requisites, etc.
  • Assist students in gaining a basic understanding of the College’s registration process and processes that need to be completed prior to the beginning of each semester.
  • Maintain current knowledge of the institution’s academic programs, curriculum, practices and academic and student policies.
  • Coordinate with other Student Affairs and Academic Affairs areas to ensure accuracy of advising materials distributed to students, faculty, and staff.
  • Possess a working knowledge of the various types of student financial assistance programs.
  • Manage academic advising case load in a manner that promotes retention, persistence, and student success through proactive interactions and interventions.
  • Assist students in the development of an Academic Completion Plan.
  • Monitor student progress through regular meetings, communications, interventions, assessments, and data collection Maintain academic advising records in compliance with College and the Family Educational Rights and Privacy Act (FERPA).
  • Develop and maintain appropriate relationships with students, faculty, and staff. Utilize a communication plan to engage the college community in the academic advising process.
  • Engage in behaviors that create an inclusive environment in which all people are valued, supported, and respected.
  • Actively participate in professional development opportunities and professional organizations, as well as college-wide committees, etc.
  • Serve on the Admission, Progression, and Graduation committee as an ad hoc member.
  • Attend, develop, and facilitate professional development events related to student success and advising.
  • Maintain student records in compliance with campus and school policies and accreditation standards.
    • Review document manager database and notify students and faculty of missing records or upcoming immunization renewals.

Student Success/Retention

  • Oversees campus nursing Peer Mentor program.
  • Oversees nursing student representatives.
  • Maintains faculty tutoring and RN tutor schedules and posts in IvyLearn org and on campus bulletin boards.
  • Develop and facilitate routine and ‘as needed’ student success workshops, programs, and initiatives.
  • Direct students to wrap-around services as needed.
  • Make appropriate referrals to campus departments including: Career Link, Advising, Financial Aid, Academic Departments, and more
  • Monitor results of success initiatives and provide recommendations to faculty committees and/or the Dean.
  • Coordinate at-risk student programming and/or advising for nursing students.
  • Provide student communication regarding success workshops and initiatives, such as Lunch and Learns and Chat with Faculty and campus-wide student life events.
  • Maintains nursing student organization page in IvyLearn, including orientation quizzes, resources materials, and announcements in collaboration with Dean of Nursing and nursing faculty.
  • Assists dean in preparing students for NCLEX application, background check, and testing.
  • Prepare certificates of completion for dean signature and mailing to state board of nursing.
  • Assist with survey compliance
    • Review and update nursing survey distribution lists
    • Assist with nursing survey completion
    • Manage alumni contact lists (to support graduate surveys)

              

External relationships

  • Develop and maintain relationships with community partners for recruitment efforts for the School of Nursing
  • Participate in Nursing Advisory Committee meetings twice per year

Nursing program recruiting

  • Participate in campus-wide committees and initiatives as appropriate
  • Act as a point of contact for the registrar, business office, financial aid, and others for the dissemination of information or issues that may arise.
  • Work with faculty, staff, students, and external partners to effectively market the School’s programs and events.
  • Represent nursing programs at campus, college and community recruiting events.
  • Create, maintain, and distribute recruiting resources.

Nursing admissions process

  • Provide information regarding the admissions applications.
  • Schedule and host synchronous nursing information sessions.
  • Respond to calls, emails, and other communication regarding nursing admission.
  • Meets with prospective students to discussion admission requirements and review prerequisite course completion.
  • Provides most current information on how to schedule ATI TEAS testing.
  • Collaborate with the Admission, Progression, and Graduation committee as appropriate.
  • Arranges registration and orientation sessions including room reservations, orientation packet materials, and agendas in collaboration with Dean.
  • Sends correspondence to admitted students regarding registration, orientation, and health record requirements.
  • Review application documents for approval or rejection within online application system and provide communication to students of corrections needed.
  • Respond to help desk tickets for online application system.

General Responsibilities for Schools of Nursing and Health Sciences

  • Provides appropriate documentation to students for the criminal background check and drug screening process.
  • Proctors computerized examinations for faculty when needed.
  • Maintains effective office procedures and efficient work flows; implement policies and procedures set by Ivy Tech; establish and maintain professional relationships with all employees, students, and college contacts.
  • Maintain appropriate inventory of necessary digital forms, ensuring professional appearance of outgoing documents.
  • Assists with records on office supplies and lab equipment. Maintain, operate, and troubleshoot office equipment.
  • Other duties as assigned.

Pay Rate: $23/hr

  • A qualified faculty member meets the education component of the discipline standard through one of three routes:
  • Possesses any specialized certifications or credentials required for the class being taught as indicated in the Curriculum of Record (COR) And, 5 years directly related work experience in the field that is specifically linked to the competencies listed in the Curriculum of Record (COR); or

Qualifications

Bachelor’s degree required or associate’s degree with approved academic plan for matriculation to bachelor’s degree.  One (1) year clerical experience. Two (2) years of experience in applicable student support role.

  • Competent using technologies including, but not limited to: Microsoft Office, text messaging systems, virtual applications (Zoom, Teams, etc.), GoogleDocs, etc.
  • Excellent organizational, communication, human relations, and self-directed work skills within a team environment and ability to keep information confidential.
  • Dependable, responsible, willingness to work and learn, and excellent human relations skills.
  • Ability to keep information confidential.
  • Medical terminology knowledge preferred.
