Job Title: Paralegal/Executive Legal Assistant

Key Essential Functions
Project & Deadline Management
Maintain legal calendars and internal systems to track contract deadlines, legal deliverables, and regulatory filings.
Monitor and flag upcoming deadlines, ensuring timely follow-up and task completion.
Contracts & RFP Support
Review and organize Requests for Proposal (RFPs) for non-substantive legal and compliance issues.
Assist with routing and tracking of ad hoc or non-standard contracts outside standard processes.
Support the full contract lifecycle, including document preparation, follow-ups, and execution.
Legal Research & Drafting
Conduct research on statutes, case law, and regulations; summarize key findings and highlight business impacts.
Draft, revise, and format policies, procedures, legal memoranda, and internal guidance documents using templates and under attorney supervision.
Assist in preparing responses to internal inquiries and correspondence.
Regulatory & Compliance Monitoring
Monitor changes in relevant legal and regulatory requirements at the state and federal levels.
Prepare concise summaries or alerts to inform internal stakeholders of potential business impacts.
Litigation & Subpoena Support
Assist with the collection, review, and organization of records responsive to subpoenas, litigation holds, or discovery requests.
Apply redactions in accordance with legal guidance and create production logs as needed.
Outside Counsel & Vendor Management
Review legal invoices for accuracy and coordinate with Finance to ensure timely payments.
Track budget and accruals and facilitate communications with external counsel on billing and engagement matters.
Contract Review
Perform preliminary review and redlining of standard agreements (e.g., independent contractor and vendor agreements) under attorney supervision.
Ensure consistency with company standards and escalate complex issues as appropriate.
Qualifications
Required Qualifications
Experience:
Minimum 3 years of experience as a paralegal or legal assistant in a law firm or in-house legal department.
Demonstrated experience with contract review and legal research.
Knowledge, Skills & Abilities:
Paralegal certificate preferred; bachelor’s degree or equivalent professional experience required.
Solid understanding of legal terminology, procedures, and confidentiality standards.
Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with contract management platforms is a plus.
Excellent organizational skills and acute attention to detail.
Strong written and verbal communication skills.
Self-starter with the ability to manage multiple projects and deadlines independently.

Hourly Rate: $24.50 - $30/hour depending on location and experience plus full benefits, medical, dental and vision
