The OT Outreach and Site Operations Coordinator supports the successful execution and growth of the Occupational Therapy Assistant and Occupational Therapy Bridge programs through coordination of lab site operations, lab equipment needs, and external outreach efforts. This role focuses primarily on recruiting, coordinating, maintaining, and optimizing lab sites and related equipment needs, while also supporting community outreach and relationship development efforts that promote program awareness and growth.

Ideal applicants should reside in TX or MN due to the travel requirements and site locations. This is a salaried position ranging from $60K-$70K annually DOE.

What you will do:

  • Lead lab site operations and coordination for the OTA and OT Bridge programs
  • Recruit, develop, and maintain lab site relationships based on programmatic and geographic needs. Coordinate logistics for lab and in-person learning experiences, including site scheduling, readiness, access, and communication with site contacts.
  • Travel to lab sites as needed to assess readiness, maintain relationships, troubleshoot issues, and support the successful delivery of lab experiences. Ensure sites are appropriately prepared to support labs and other in-person components.
  • Serve as a primary operational contact for lab site partners and maintain ongoing communication regarding scheduling, expectations, and support needs.
  • Oversee lab equipment procurement, maintenance, and operational readiness
  • Identify, purchase, track, organize, and maintain lab equipment and supplies needed to support program delivery.
  • Coordinate shipment, storage, setup, replacement, and maintenance of equipment across locations.
  • Monitor inventory levels and equipment condition to ensure operational continuity.
  • Partner with internal stakeholders to forecast equipment and site needs based on future growth, curriculum changes, and program expansion. Help establish consistent procedures for equipment use, storage, transport, and accountability across locations.
  • Build and improve systems, processes, and procedures related to site and equipment operations
  • Develop and refine workflows, documentation, and operational procedures that support scalable lab site and equipment coordination.
  • Help create repeatable processes for site recruitment, onboarding, scheduling, communication, and issue resolution.
  • Track operational data and maintain accurate records related to sites, scheduling, equipment, and partner communications.
  • Identify operational gaps and recommend process improvements to increase efficiency, reduce risk, and support program quality.
  • Collaborate with internal teams to ensure site and equipment processes align with broader operational goals and university partner expectations.
  • Support outreach and relationship development efforts for the OTA and OT Bridge programs
  • Assist with outreach efforts designed to increase awareness of the OTA and OT Bridge programs among relevant community, academic, and healthcare audiences.
  • Build and maintain relationships with prospective partners, community organizations, and other external stakeholders that may support program visibility and growth.
  • Participate in outreach meetings, events, presentations, and related activities that support enrollment objectives and partnership development.
  • Coordinate outreach efforts with internal operations, admissions, and university partner teams to ensure messaging and activity are aligned.
  • Provide market feedback and relationship insights to leadership to support strategic planning and program development.
  • Support cross-functional program operations and partner satisfaction
  • Work collaboratively with university partners, program leadership, operations staff, and other internal teams to support a high-quality student experience.
  • Communicate clearly and professionally with internal and external stakeholders regarding scheduling, site needs, operational changes, and project updates.
  • Support special projects related to program expansion, operational planning, and continuous improvement.
  • Maintain a service-minded, solutions-oriented approach when addressing site, equipment, and outreach needs.
  • Perform other duties as assigned in support of program operations.

What you will have:

  • Microsoft Office Suite, Microsoft Dynamics CRM
  • Zoom, Microsoft Teams, Smartsheet, Google Sheets, Outlook, and shared drive systems
  • Standard office equipment, including laptop, phone, printer, and scanner
  • Program-related lab equipment and materials used for coordination, transport, setup, inventory tracking, and maintenance
  • Bachelor’s degree required, degree in business, higher education, healthcare administration, operations, marketing, or related field preferred
  • Minimum of 3 years of experience in operations, business development, account management, site coordination, outreach, or a related function
  • Experience in higher education, healthcare, workforce education, or a comparable field strongly preferred
  • Experience coordinating external partnerships, operational logistics, or multi-site programming strongly preferred
  • Experience with procurement, inventory, scheduling, or process improvement preferred
  • Demonstrated ability to work independently, manage multiple priorities, and operate effectively in a remote environment
  • Strong communication, relationship management, and organizational skills required
  • Willingness to travel regularly, including regional travel and occasional evenings or weekends as needed
  • Valid driver’s license required; ability to rent and operate a vehicle for business travel required
  • Requires approximately 30% travel, primarily regional, with occasional overnight stays as needed
  • Must successfully pass a background check.
