Operations Manager (Immediate)

Hours: 8:00 am – 4:30 pm + some out of school time responsibilities

Compensation: The salary range for this role is $65,000 - $75,000 (We believe in compensating staff members fairly in relation to each other. We take into consideration qualifications, credentials, years of experience, and one's impact on behalf of the organization - internal and external equity is taken seriously. Who We Are

East Harlem Scholars Academies are community-based Pre-K to 12 public charter schools operated by  East Harlem Tutorial Program (EHTP). EHTP began in 1958 as a children's reading group and has since grown into a multi-site after-school program for traditional public school students and a network of public charter schools focused on significantly increasing the college graduation rate in East Harlem.

About the Opportunity

The Operations Manager will work with the Director of Operations to oversee the day-to-day operations at East Harlem Scholars Academy (2050 2nd Avenue). The Operations Manager plays a key role in ensuring a consistent experience for both families and staff as they matriculate through our schools. Operations Managers are the leaders in ensuring families have a number of joyful and informative touch points with the school and that students have events and trips to celebrate and extend their learning.

  • Comprehensive knowledge of Microsoft Word, Excel and PowerPoint

  • Ability to remain calm and effectively multitask in a fast-paced environment
  • Ability to effectively manage the school receptionist
  • Spanish proficiency strongly preferred
  • Bachelor’s degree or higher in business administration/human resources, or equivalent experience preferred
  • 1-2 years in an operations-related role, school-based experience strongly preferred

What Success Looks Like

Responsibilities of the Operations Manager will include, but are not limited to:

Student Records and Data:

  • Update contact information for students each trimester and distribute updated student contact information to faculty and staff
  • Maintain internal class lists
  • Track absences, early dismissals and tardy students monthly to identify trends
  • Implement attendance procedures and produce daily, weekly, monthly and annual reports
  • Collect and submit data for Federal, State and City reports
  • Complete the bi-monthly tuition invoice reconciliations for enrollment and notify administration of changes in enrollment
  • Ensure compliance with FERPA guidelines for student records and ensure student permanent records are complete, up-to-date and confidential
  • Collect all medical and lunch forms, as necessary during enrollment, and liaise with the nurse and State, respectively to ensure full compliance

Admissions and Enrollment

  • Prepare for and attend recruitment fairs and visits, new student orientations, and other necessary parent workshops
  • Record and analyze annual student attrition information to inform admissions openings for following school year
  • Support the organization of the annual lottery process and follow through on lottery outcomes to ensure compliance with charter school admissions regulations
  • Assist in the organization of open-houses, student and family tours and new student orientations
  • Oversee the enrollment process for informing families of the lottery results to receiving new student enrollment paperwork
  • Ensure completion of Home Language Surveys for new entrants and analyze results in conjunction with the ELL Teacher to determine the administration of the Lab-R assessment

School Administration

  • Coordinate mandated fire-drills with Director of Operations
  • Assist with administering the annual SUNY and DOE parent surveys
  • Coordinate with the Office of Pupil Transportation (OTP) to establish bus ridership for all instructional days and Metrocards for eligible students
  • Perform recess, lunch, arrival, and dismissal duties at the designated times
  • Liaise with the school nurse to ensure that all medical records are up to date and that necessary medical information is disseminated to school staff
  • Manage the school food services, including but not limited to, collection of lunch forms, submitting lunch counts to NYSED, ensuring compliance with all health regulations, ensuring smooth and efficient lunch services in all classrooms
  • Complete other appropriate duties as assigned

Main Office Oversight:

  • Ensure a neat and tidy main office
  • Manage the school receptionist
  • Oversee the general school logistics and tidiness
