The Operations team is responsible for the day-to-day oversight of facilities and infrastructure of BBN’s 7 facilities located in: Cambridge, MA; Arlington, VA; Middletown, RI; Columbia, MD; St Louis Park, MN; O’Fallon, IL; Rome, NY. The team supports each site through planning, developing, and implementing capital improvement projects; overseeing environmental health and safety (EHS) programs and regulatory compliance; providing security oversight for asset protection and contract compliance; supporting real estate planning and leasing efforts; and partnering with internal stakeholders to align facilities services with operational and business needs.

The Operations Coordinator will be an integral part of the Operations team supporting a wide variety of functions and responsibilities. The successful candidate will demonstrate a strong desire to learn and take on new challenges, possess excellent organizational skills with attention to detail, show the ability to take initiative, and work effectively in a fast-paced, dynamic environment. This position is based in Cambridge, MA and is hybrid (3+ days on-site per week).

What You Will Do

  • Manage purchase orders across all locations, including submitting requests, maintaining a status tracker for spend against budget, analyzing data for trends or gaps, resolving invoice issues with vendors and accounts payable, and supporting the annual budget planning process.
  • Prepare and compile annual property insurance data for review and submission.
  • Obtain certificates of insurance (COIs) and track expiration dates, as required.
  • Track property tax invoices for the Cambridge site to ensure timely payment. Manage Cambridge reporting requirements (e.g., dumpster permits, BEUDO reporting, non-PO check requests).
  • Track utility usage and spending, identify unusual activity or variances and investigate causes. Learn the NUS interface system, obtain access to accounts.
  • Support operational and capital projects by tracking purchase orders, anticipated delivery dates, received items, and outstanding materials, etc.
  • Manage contractor EHS documentation and no-escort badge process for all routine and project-based contractors.
  • Participate in the operations emergency response team, as needed.

Perform other duties as assigned.

Qualifications

  • Bachelors and minimum of 2 years of relevant work experience or 6 years minimum of relevant work experience in lieu of degree.
  • Willingness and flexibility to take on a variety of tasks as business needs arise.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
  • Ability to perform effectively in a fast-paced, dynamic environment with competing priorities.
  • Collaborative team player who can also work independently with minimal supervision.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office applications, including Excel, Word, and PowerPoint.

Requires theoretical to advanced knowledge of work area typically obtained through University Degree combined with experience. Practical knowledge of RTX projects, programs

The salary range for this role is 75,800 USD - 144,200 USD. The salary range provided is a good faith estimate representative of all experience levels. RTX considers several factors when extending an offer, including but not limited to, the role, function and associated responsibilities, a candidate’s work experience, location, education/training, and key skills.
