About The Role

The Operations Coordinator supports the smooth and efficient running of both Southern and East Africa operations, with approximately 80% focus on East Africa and 20% on Southern Africa, with many centralised duties shared across both regions. This position ensures the accuracy and consistency of operational data, supports supplier coordination, monitors quality control, and assists in communication and reporting. It also contributes to incident coordination and emergency phone coverage on a rotational basis. The Operations Coordinator plays a vital role in maintaining smooth day-to-day functioning across multiple teams, systems, and stakeholders.

What you'll be doing:

  • Support operational communication through shared channels (Slack, email, and internal reports) to help coordinate updates, troubleshooting, and issues raised from trips.

  • Monitor trip-related messages and channels, ensuring any problems, supplier issues, or urgent operational concerns are shared promptly with the relevant regional team.

  • Validate supplier invoices and track payment issues with Finance to ensure accuracy and timely processing.

  • Maintain and update the Optional Activity Sheets for both regions, ensuring prices are current, accurate, and aligned with supplier updates.

  • Review and update tracking sheets to ensure trip budgets are consistent across all departures. Liaise with the Buying team when adjustments or corrections are required.

  • Assist with system clean-ups, data audits, and monthly reporting updates to ensure accuracy of operational information.

  • Manage Quality Control (QC) tracking: log and investigate traveller or supplier feedback, update the regional QC filing system, and track outcomes or follow-up actions taken.

  • Send regular supplier feedback communications to address service issues, share updates, or acknowledge improvements.

  • Assist with hotel, transport, and activity bookings as support for the Operations and Tour Staff Coordinators

  • Track tour leader flights, accommodation, and other logistics for tours.

  • Maintain Gorilla permit and deposit records.

Skills & Experience

  • 2-3 years of experience in an operations, administration, or travel coordination role (preferably within the tourism or hospitality sector).

  • Experience coordinating between suppliers, finance, and internal teams across multiple regions is an advantage.

  • Diploma in Travel & Tourism, Hospitality, Business Administration or equivalent experience in a related field.

  • Excellent written and verbal communication; able to liaise clearly with internal teams and external suppliers.

  • Strong attention to detail with a commitment to accuracy and quality.

  • Calm, professional, and solution-oriented when handling unexpected or urgent issues.

  • Collaborative mindset; works effectively across departments and regions.
