PATH seeks an Operations and Admin Assistant for the USG-funded Reaching every at-risk community and household with malaria services (REACH Malaria) global project. REACH aims to provide implementation support services and technical assistance to countries to accelerate progress in comprehensive delivery of facility and community-based malaria services, including malaria case management, prevention of malaria in pregnancy (MiP), seasonal malaria chemoprevention (SMC), health systems strengthening, data collection and use for service delivery, and other malaria prevention interventions. 

 

The Operations and Admin Assistant will report to the Finance Manager and will provide logistical and administrative support to help introduce and implement malaria support services, and coordinate with relevant ministries of health, PATH technical teams in region and other implementing partners. 

Responsibilities: 

Operations Support 

  • Prepare purchase requests, collect quotations, and support procurement processes in compliance with donor and organizational policies.  

  • Liaise with service providers, transport companies, and suppliers to ensure timely delivery of goods and services. 

  • Assist in planning and coordinating the full range of logistics for workshops, meetings, and fieldwork exercises.   

  • Support the preparation of travel authorizations, per diem requests, and coordination of field trips. 

  •  Maintain office supplies and equipment inventory. 

Administrative Support 

  •  Ensure effective filing and archiving systems for administrative, procurement, and financial documents (both electronic and hard copies).  

  • Receive, verify, and organize supporting documents from regional offices before submission to the Finance department.  

  • Coordinate with project teams to ensure smooth coordination of administrative tasks.   

  • Take meeting notes and share action points with relevant staff 

  • Work closely with the Finance officer to verify completeness and compliance with financial supporting documents. 

  • Prepare document transmission sheets and assist with scanning and electronic filing for monthly financial reports. 

  • Track payment requests and ensure supporting documentation is complete before submission. 

  • Provide administrative and logistical support during financial audits or donor reviews. 

  • Serve as the focal point at Dakar for all administrative and financial documentation received from regional offices. 

  • Provide timely feedback to regional teams regarding missing or incomplete documentation. 

  • Coordinate communication between the regional Operations and Administrative Associates and the Dakar office. 

  • Maintain accurate and up-to-date program files and databases. 

  • Collect, compile, and verify field data for program reporting, working closely with the regional office. 

  • Serve as a back-up and resource person for Operations and Admin associate during absences (logistics, documentation, coordination). 

  • Perform any other relevant duties as may be assigned by the supervisor from time to time. 

 

Required skills and experience: 

  • Degree in Accounting, Management, Business Administration, or related field with at least 2-3 years of experience  

  • Ability to work in multi-site project team with minimal supervision,  

  • Excellent attention to detail and results focus while able to adapt to changing priorities   

  • Strong interpersonal and organizational skills   

  • Ability to organize and implement events for large groups and international guests   

  • High level of integrity, discretion, and commitment to organizational values. 

  • Experience working with International NGOs and donors is preferred  

  • Fluency in French (written and spoken); working knowledge of English preferred. 

  • Ability and willingness to travel  

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
