About the role

As the face of the Company, this position must be professionally presented and have excellent communication and administration skills in providing efficient service to all internal and external customers. This position also requires to manage all aspect of administration duties for all branches including but not limiting to travel and office event management.

Primary Responsibilities:

  • Front desk
    • Manage general phone enquiries
    • Meet & greet customers / clients at the reception
  • Office Management and Maintenance
    • Maintain cleanliness and tidiness of office area
    • Manage outgoing and incoming mail sorting & distribution
    • Booking, receiving and distribute couriers
    • Organise company printing including business cards, letterheads, note pads & envelopes etc.
    • Maintain adequate kitchen & consumable stationery supply, prepare monthly periodic office order for all branches
    • Operation of general office equipment such as photocopier, coffee machine, water system
    • Manage repair and maintenance of general office and office equipment with vendor or handyman
  • Travel Management
    • Organise and manage all domestic travel arrangement for all employees to ensure compliance with appropriate travel policy
    • Work with Accounts Department to reconcile all flight invoice, accommodation invoice, car rental and any travel credits on hold
  • Office Event Management
    • Planning and co-ordinate office social events, eg. Morning tea, monthly birthday cake, quarter end office lunch catering, charity fun event, team building, special national events etc.
    • Preparation of catering for internal meetings etc
    • Organisation of external meetings as required which will include travel booking, venue selection, logistic etc
  • Administration
    • Petty Cash Management
    • Maintain and update phone list upon personnel changes, security card register, phone extension
    • Liaise with cleaners, builders, electrical contractors, building / property manager with regards to office / building  maintenance
    • Administration induction for new employees
    • Accept ad hoc duties and facilitate change as directed

Skills and experience

  • Minimum of 3 year of similar administration experience
  • Well presented, professional telephone manner, and bubbly personality
  • High level of Microsoft Office skills
  • Be resourceful, highly motivated, self-managed, energetic and have excellent communication skills
  • Dynamic personality with willingness to accept responsibility (can do attitude) and good time management
  • Proven ability to use own initiative and make operational decisions within area of responsibility
  • Ability to manage multiple tasks, work as part of a team, accountable and reliable
