Position Summary:

As our Office Manager / Executive Assistant in Singapore, you will play a pivotal role in ensuring smooth daily operations and providing high-level executive and administrative support to the regional leadership team.

Key Responsibilities:
Office Operations & Administration
- Oversee all aspects of daily office operations to ensure a professional, efficient, and welcoming workplace environment.
- Act as the key liaison with building management, landlords, vendors, and facility service providers to maintain optimal office standards.
- Manage office procurement, pantry supplies, stationery, and vendor contracts while maintaining accurate records and inventory.
- Coordinate mail, courier, and shipment logistics for the Singapore office.
- Ensure compliance with Huron’s operational standards and local workplace health and safety requirements.
- Support space planning and office layout modifications as the business evolves.
Executive & Administrative Support
- Provide comprehensive administrative and scheduling support to regional leadership, maintaining accuracy, confidentiality, and professionalism.
- Manage complex calendars, coordinate meetings, and arrange travel and logistics as required.
- Prepare meeting materials, presentations, and reports using Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
- Coordinate on-site and virtual meetings (Zoom, Teams), ensuring seamless technical and hospitality arrangements.
- Partner closely with Huron India and Huron America teams to ensure alignment and effective communication across regions.
Finance & Vendor Coordination
- Process and manage Accounts Payable invoices, vendor payments, and expense reconciliations in collaboration with the Finance team.
- Track office-related expenses and support budget planning and monitoring.
People & Culture Support
- Work with the regional People team to coordinate employee engagement activities, onboarding, and events.
- Serve as the office ambassador—ensuring a welcoming, inclusive, and collaborative environment for all employees and visitors.
- Support ad-hoc HR and administrative projects as required.
Qualifications & Experience:
- 7-10 years of experience in an Office Manager or Executive Assistant role, preferably within a multinational or consulting environment.
- Proven ability to handle multiple priorities with accuracy and discretion.
- Strong organizational, problem-solving, and stakeholder management skills.
- Excellent communication and interpersonal abilities.
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Experience coordinating with regional/global teams.
- Knowledge of Singapore business protocols and vendor management preferred.
- Bachelor’s Degree or equivalent qualification preferred.
