Datapao

Office Manager

Budapest Full Time

At DATAPAO, data ignites passion, community fuels collaboration, and growth knows no bounds. We are a leading Data Engineering and Data Science consulting company backed by Databricks and recognized for our unmatched delivery standards and rapid growth. We have been named Databricks EMEA Emerging Business Partner of the Year and have achieved a second consecutive appearance on the Financial Times FT1000 list.

TL;DR

At DATAPAO, we are firm believers that our talent community is a meaningful differentiator and the backbone of our success. We also believe in enviable experiences.

Hence, we are seeking to hire an enthusiastic Office & Community Manager to enhance our office experience and nurture our community.

The role is ideal for someone who loves bringing people together and elevating everyday moments. Someone who gets excited about creating memorable experiences, planning community-building activities, and transforming a workspace into a place where people genuinely look forward to being. Someone who's organized, hands-on, and ready to jump into everything from office and facility logistics to hosting vibrant events.

What will you do?

Your core responsibilities will span across three main areas:

Office & Facility Management
  • Facility management SPOC - you will be the primary point of contact for all office-related matters for the office landlord and the third-party facility management company.
  • Office Management - you will be the go-to person for Paoneers for all things office-related. Among other tasks, you will:
    • Manage 3rd-party vendors for office-related services
    • Ensure we are well-stocked on office snacks and supplies
    • Order entry cards for new joiners
    • Coordinate the assignment of parking slots
    • Ensure all office equipment is functioning properly
    • Inform the team in due time about office-related matters
  • Office Logistics & Experience - you will ensure that our office space provides Paoneers with an exceptional experience. In doing so, you'll coordinate couriers and packages, regularly monitor office & kitchen tidiness, ensure the orderly storage of our items, and maintain the safety of our working spaces.
Community Management
  • Events Management - you will either own entirely or partner with other members of the People Team to organize community events. Among other events, you will own or be involved in organizing the monthly All Hands, quarterly office breakfasts, and the yearly Open Day, Family Day, Christmas Dinner, and Team Building.
  • Employer Branding & Marketing Support - you will support our attendance at various sales-related or employer branding events.
  • Ad-hoc events - these are usually bottom-up events organized by Paoneers. We offer a small budget for such events, as well as the support of our community & office manager.
Administrative support
  • Budgeting - you will compile the yearly office-related fixed costs budget and monitor its execution throughout the year.
  • Invoicing - you will manage invoices related to office services and ensure they are forwarded to the Finance Team in due time.
  • Contracting - you will manage the contracting process for office and community events-related services and vendors.

What will you bring?

🎯 Must-Have
  • Community builder at heart: You’ve grown thriving talent communities before, ideally in fast-paced, tech-heavy environments. You understand that building a community is not a transactional process, but rather something that requires genuine presence and relationship-building.
  • Self-starter mindset. You operate independently, take ownership naturally, and shape an enjoyable office and community experience without needing top-down direction.
  • Jack of all trades: You can operate systematically when coordinating large projects while also being able to ensure your administrative house is in order.
  • Comfortable with “chaos”: You can prioritize on the fly, switch contexts easily, and handle the ad-hoc nature of events and office life.
  • Customer & people-centric attitude. You genuinely enjoy supporting others, adapt easily to different personalities, and welcome feedback without taking it personally.
🚀 Nice-to-Have
  • Experience in any of the following domains: IT Support (big plus), employer branding, marketing, or events management.
  • Willingness to be on-site 5 days a week. If that's not possible, at a minimum, due to the nature of the role, we'd expect you to be around for 4 days a week.

What will the selection process look like?

  • Recruiter Screening Call (~45 minutes): To explore your motivation and check your match with the role’s key requirements.
  • Take-home Test: A practical exercise to showcase some of the most critical skills you’ll use on the job.
  • Core Skills Interview (~75 minutes): A deep dive into your experience and the craft needed to excel in the role. The current Office Manager and our Head of People will run this interview.
  • Meet the team (~75 minutes): A conversation with our Head of People focused on your motivations, work ethic, and ways of working. Additionally, you'll have the opportunity to meet the People Team in person and check out our office.

How will we measure success in this role?

Making an impact in this role will be a function of:

  • Performance against co-created objectives every six months
  • Peer and community feedback

Compensation

The gross salary for this position ranges from 700,000 HUF to 1,000,000 HUF per month, depending on your assessed seniority level during the selection process.
