Office Coordinator - Israel
Part time
We are looking for a highly organized and proactive Office Coordinator to oversee the daily operations of our Israel office. This role is ideal for someone who thrives in a fast-paced startup environment while ensuring smooth office operations within the structure of a larger global company. You’ll be responsible for administrative support, office management, and fostering a positive team culture, ensuring our team has everything they need to work efficiently and happily.
As an Office Coordinator you will:
Man the reception desk, ensuring a professional and welcoming environment for all employees and visitors
Greet and direct visitors, vendors, and deliveries in a courteous and professional manner.
Maintain a tidy and professional appearance at the reception area.
Sort and scan incoming mail/packages, and coordinate domestic and international shipments from Israel.
Report ad-hoc maintenance issues to building management as needed.
Assist the EMEA Office Services Manager with administrative tasks and ordering related to office programs, including weekly lunches, kitchen vending, and parking management.
Respond to basic facilities-related requests via the ticketing system (e.g., stationery refills, water for meetings, maintenance ).
Work with building security to coordinate temporary and permanent access for employees and visitors.
Act as the first line of approval for Israel facilities-related invoices in Coupa, ensuring amounts are correct and services are completed
Source and onboard facilities vendors in Coupa.
Monitor stationery, place orders for replenishment, and distribute supplies as needed.
Provide onsite support for executive visits and events; includes assisting with room and catering setup for internal office meetings/events.
Ensure scheduled PPM services occur as planned by the landlord and notify the EMEA Office Services Manager of any updates, issues, or changes.
Assist with local onboarding and offboarding tasks (e.g., desk assignments and office welcomes).
Actively engage in Facilities team meetings.
Perform other reasonable tasks and duties as assigned, both locally and globally within the Corporate Services Department.
Occasional Responsibilities
Provide additional support for facilities projects as they arise, which includes (but not limited to) potentially working overtime on evenings and/or weekends.
We're excited about you if you have:
5+ years of experience in office coordination, administrative support, or a similar role.
Customer Service Skills: Enthusiastic about supporting colleagues and guests, with strong communication and interpersonal skills.
Organizational Skills: Ability to multitask effectively, stay organized, and prioritize basic tasks.
Tech-Friendly: Familiarity with programs like Gmail, Google Workspace.
Desired but not required knowledge of; Slack, Jira, Coupa, Concur, Insight.
Professional & Flexible: Positive attitude, adaptable, and capable of working independently with guidance.
Language Proficiency: Fluent in written and spoken Hebrew and English (additional languages are a plus).
