Office & Business Support Specialist

As the Office & Business Support Specialist, you will be a key part of our operations, ensuring that everything runs smoothly and efficiently. You will serve as a crucial point of contact for various departments, providing indispensable administrative support and contributing significantly to the overall success of Saab Technologies Poland. This role is ideal for someone who enjoys a dynamic work environment and thrives in a fast-paced corporate environment.

Location: Your place of work will be company’s HQ in Warsaw (city centre). This position is stationary, so remote work is possible in exceptional cases.

Language requirements: English is corporate language in the company, so fluent English is mandatory for this position.

Your role:

  • Manage company’s complex administration, including office processes, procedures and general business operations;

  • Prepare and maintain professional documentation;

  • Maintain and develop good business relationships with external partners, including authorities and consultants;

  • Negotiate with office vendors and service providers to ensure proper level of services and support;

  • Plan and organise on-site and off-site events and activities;

  • Assist with essential governance functions such as compliance, HR, security and finance;

  • Ensure efficient and effective onboarding support and training processes are in place;

  • Participate in training programs to continuously develop your skills.

 Your profile:

  • At least 5 years of experience in business administration with a strong understanding of quality procedures, registry management and office operations;

  • Familiarity with project organisation setups and related administrative efforts;

  • Fluent in Polish and English (written and spoken), capable of handling company correspondence and communicating effectively with colleagues, clients and partners;

  • Proficient in MS Office and comfortable using digital tools;

  • A valid driving license is an advantage, allowing you to travel when needed;

  • Strong organizational skills and a collaborative, problem-solving approach;

  • Detail-oriented and proactive, with a keen eye for spotting and resolving challenges efficiently in accordance with company policies;

  • Independent and self-motivated, with the ability to work well both autonomously and in a team;

  • Positive mindset and behaviour.

Security Clearance: A Personal Security Clearance is required to fulfil all tasks included for the position, so you will have to apply for one if you don’t already hold one.

Security Vetting: This position requires that you will be approved in a security vetting in accordance with ISO:27001+.
