POSITION SUMMARY
- The position holder is responsible for carrying out comprehensive administrative and organizational support to Medical Affairs Department.
- This includes but not limited to: meeting and events management. Agenda planning and minutes, events and travel coordination, preparation of power point presentations, excel work sheets support.
- Responsible for the initiation of MAPP pre-approval projects on behalf of the medical team in MAPP Navigator system. For Speaker Engagements such as Meetings (Speaker Programs and Advisory Boards) and External Funding such as Educational Grants, Business Donations, and Corporate Sponsorships.
Primary Tasks
- Demonstrates working knowledge and skills regarding general administrative functions
- Expedite flow of work, follow up and anticipate priorities to ensure deadlines are met regarding all the business activities/priorities.
- Prepare Expense reports and reconcile T&E statements for the Medical director.
- Maintain receipts and records relating to office expenses
- Liaise with BCD/other vendors for flights, accommodation and preparation of detailed itineraries including liaising with Pfizer colleagues regarding travel, accommodation and transfer arrangements for international and local meetings.
- Assist various members of the team with office familiarization including room preparation and their appropriate storage.
- Ensure in initiating and coordination with procurement and compliance, MAPP and FCPA paperwork for vendors.
- Ensure seamless project execution from initiation to successful payment and closure.
- Develop tools and follow up with the team on category and budget tracking in order to facilitate internal / self-monitoring of expenditure.
- Prepare the consolidated quarter highlights reports summarizing budget progress and OP execution.
- Arranging the external F2F meetings for the Medical Team and handling all meeting logistics (accommodation, air tickets, visas, team building, catering, outings, etc.)
- Continuous update of the shared team calendar and maintain distribution lists and key contact lists.
- Follow-up on department activities, pending issues and deadlines and participates in resolving the administrative problems in the department.
- Provide support in the setting of the department objectives and development plans and help with the relevant automated systems.
- Complete any assigned task as required on timely manner

Level Of responsibilities
- Tasks are performed under the general direction of the ELI Medical Director; however the incumbent is fully responsible for the operational / business results of his/ her job.
SKILLS & CAPABILITIES
- Minimum of 3 years of experience in office administration.
- Fluent English and Arabic Languages (written & spoken).
- Working knowledge of MS Office, Word, Excel, Power Point.
- Excellent written and oral communication skills in English and Arabic.
- Organized and Disciplined.
- Strong attention to detail.
- Excellent interpersonal skills.
