MANAGER- VOLUNTEER PROGRAMS Full Time Days

BASIC PURPOSE OF THE JOB

Participates in management and supervision of hospital volunteer services and volunteers. Assesses flow of daily activities to prioritize needs and coordinates volunteers appropriately. Assists in various capacities in support of special hospital functions, projects, donated materials and visits. Analyzes trends and creates reports relevant to areas of management.

JOB REQUIREMENTS

Minimum Education: Bachelors Degree Required or 3-5 years professional related experience

License/Certification Required: None

Minimum Work Experience: 2 years of non-profit experience preferred

DUTIES AND RESPONSIBILITIES

  • Consider the quality of the work tasks required and how the quality of performance impacts the program, function or care this position must demonstrate, by developing and implementing volunteer program components to ensure correct adherence to policies and procedures including interviewing, placement and orientation of volunteer candidates for adult volunteer program
  • Develops strategies for cultivation, identification, and recruitment of a diverse volunteer workforce; as well as manages volunteers and work areas leading to effective and efficient delivery of service to staff, patients, families and visitors.
  • Maintains volunteer personnel files and records in compliance with hospital standards and which are accurate and up-to-date, conducts volunteer interviews, placements, orientation, and training to assure compliance with hospital policies, and creates and implements ongoing education for volunteers which assures compliance with hospital policies.
  • Assists in evaluating services, volunteers and activities leading to appropriate decisions, counseling, coaching and productivity, by developing systems and maintaining data to insure accurate and timely records and reports, assisting with plans, materials and records for meetings and special events to ensure timely and effective operations, and implementing specified community volunteer projects by managing orderly systems and data, as needed.
  • Assists in developing recognition programs and functions which maximize volunteer satisfaction and encourages loyalty and commitment and participates in the planning and development of volunteer position descriptions which accurately and efficiently support various units/offices/departments.
  • Participates in the development of documents, training materials, invitations and newsletters for volunteers which are accurate, concise and motivational; and participates in the planning and development of department policies and procedures for on-boarding and orientation/training which assures compliance with hospital policies.
  • Systematically evaluates services, volunteers and activities leading to appropriate decisions, counseling and productivity.
  • Represents ETCH to the community and promotes the hospital’s mission and initiatives. Represents the department throughout the hospital and promotes effective and appropriate volunteer services which make efficient and effective use of volunteer skills and time; this can be by developing and cultivating positive relationships with businesses, individuals and other not-for-profits.
  • Collaborates with all customers, internal and external, to support excellence in volunteerism as a vital part of the delivery of care.
  • Develops strategies to expand the department’s service excellence and service to patients, families, visitors and staff. Actively promotes and mentors voluneteers in principles of Child/Family Care.
  • Cultivates strong and positive relationships with volunteers, hospital and department staff and physicians; plans, organizes and assures an enthusiastic environment which results in loyalty and commitment of volunteers.
  • Assertively seeks information and communications which lead to depth of understanding. Produces accurate and timely written communications which assure volunteers are informed.
  • Collaborates with hospital staff in the effective utilization of volunteers. Assertively dialogues and negotiates with staff and volunteers toward mutually satisfying services, experiences and relationships. Seeks opportunities to educate and enhance the knowledge of colleagues regarding volunteer management within the hospital’s mission and initiatives.
  • Willingly accepts new assignments and responsibilities as requested.
  • Consider how this position’s performance should reflect personal accountability to the significant responsibility of managing the department’s and organization’s assets conservatively, efficiently and with the highest level of integrity.
  • Assures compliance with budgets and assures appropriate stewardship of financial and in-kind resources, and produces accurate and timely reports which leads to effective decisions and management..
  • Utilizes hospital resources and time respectfully and accountably, by developing methodologies and systems to assure appropriate management and usage of goods and materials, both purchased and donated..
  • Assures correct management of incoming supplies.

PHYSICAL REQUIREMENTS

  • Heavy lifting, pushing, and pulling is required up to 50 lbs occasionally, 20-30 lbs frequently, and 10lbs constantly to move objects of up to 150 lbs. Sudden emergency situations have the potential for exposure to lifting or moving of up to 150 lbs. Frequent bending, walking, sitting squatting, reaching, and standing are required. Keyboard/computer use and/or repetitive motions may be required.
