Maintenance Clerk

Job Summary:

The Maintenance Clerk provides administrative and clerical support to the Maintenance Department to ensure efficient operations. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Duties include maintaining accurate records, processing work orders, managing inventory, and assisting with compliance documentation. This position is dynamic and may include responsibilities beyond traditional clerical tasks, such as supporting scale operations, field audits, and light office upkeep.

Start Time: 7am

Pay: $18-23/hr DOE

Key Responsibilities:

  • Work Order Management:

    • Create, track, and close maintenance work orders in the system.
    • Ensure accurate documentation of repairs, inspections, and preventive maintenance activities.
  • Inventory & Parts Tracking:

    • Maintain inventory records for parts and supplies.
    • Assist with ordering and receiving parts; reconcile invoices with purchase orders.
  • Administrative Support:

    • Answer phones and respond to inquiries related to maintenance operations.
    • Prepare and distribute reports, correspondence, and other documentation as needed.
    • File and maintain records in accordance with company policies.
  • Scale Clerk Coverage:

    • Serve as a backup scale clerk when primary staff are unavailable.
    • Accurately weigh and record incoming and outgoing loads, ensuring compliance with company and regulatory standards.
  • Field Support:

    • Assist with audits and inspections in the field.
    • Check on repair status with technicians and vendors to ensure timely completion of work orders.
  • General Duties:

    • Help with light office cleaning and organization as needed.
    • Perform other duties as assigned to support the maintenance and operations teams.
    • Job responsibilities are not limited to the tasks listed above and may change based on business needs.

Qualifications:

  • High school diploma or equivalent; additional coursework in office administration or maintenance management preferred.

  • 1–2 years of clerical or administrative experience, preferably in a maintenance or industrial setting.
  • Proficiency in Microsoft Office Suite and maintenance software (e.g., TMW, FleetFocus, or similar).
  • Strong organizational and multitasking skills.
  • Excellent communication and problem-solving abilities.

Physical Requirements:

  • Ability to sit, stand, and use office equipment for extended periods.

  • Occasional lifting of up to 25 lbs for filing or inventory tasks.
  • Ability to work in outdoor environments when performing field audits or inspections.
