Maintenance Administrative Assistant

Summary:

Step into a role where your attention to detail and organizational talents truly shine. As the Administrative Assistant supporting our Maintenance Department, you will play a key part in keeping our operations running smoothly every day.

In this role, you’ll validate daily timesheets, track vacation and sick time, prepare overtime reports, coordinate call sheets, and act as the safety liaison for important departmental initiatives. You’ll also handle purchase requisitions, process goods receipts, track costs, and help resolve any invoice discrepancies that arise.

Please note that this role requires onsite presence five days per week, Monday through Friday

Responsibilities Include:

Timekeeping & Attendance Management

  • Accurately validate and enter daily timesheets for maintenance personnel.

  • Maintain organized records of vacation, sick time, and other leave requests.

  • Prepare and share daily overtime reports to keep operations informed.

  • Coordinate call sheets for overtime assignments with clear, timely communication.

Safety Coordination

  • Serve as the safety liaison for the maintenance department.

  • Coordinate safety meetings, events, and training sessions.

  • Track and report progress on key safety initiatives and compliance activities.

Procurement & Cost Tracking

  • Enter purchase requisitions for materials and services.

  • Process goods receipts and maintain accurate cost tracking.

  • Collaborate with vendors and finance to resolve invoice discrepancies.

Administrative Support

  • Maintain organized documentation across timekeeping, safety, and procurement activities.

  • Support departmental reporting and basic data analysis.

  • Provide administrative assistance to maintenance leaders and coverage for other plant areas as needed.

  • Other duties as assigned

Qualifications:

The following are required for the role

  • High school diploma or equivalent required; an associate degree in a related field is preferred.

  • Minimum of 2 years of administrative support experience, ideally within a maintenance, manufacturing, or industrial environment.

  • Demonstrated proficiency with Microsoft Office Suite and enterprise systems; SAP experience strongly preferred.

  • Proven ability to manage multiple priorities with a high degree of accuracy and attention to detail.

  • Strong written and verbal communication skills, with the ability to collaborate effectively across teams.
     

The following are preferred for the role:

  • Familiarity with collective bargaining agreements and labor relations.

Base Pay Range: $21 - $31
