What this job involves:

As a Mailroom Clerk at JLL's Integrated Facilities Management, you will achieve the timely and efficient delivery of mailroom services in client's sites and support of their business needs in accordance with the service levels and key performance indicators while receiving and accurately sorting all incoming mails daily (except package) and recording the key information of all incoming mails and outgoing mails accurately. This role requires mails distribution to appointed staff while picking up outgoing mails from mail room timely for delivery and answering customer calls and questions regarding mails tracking, chasing and more. You will check the billing with related vendors on a monthly basis while making sure each receiver gets notice by phone and email every day and submitting daily report to FC. This comprehensive mailroom clerk role involves stationary related management including goods order, monthly report, user record etc. while accomplishing other assignments from team leader, directly contributing to JLL's mission of delivering exceptional mailroom services excellence through comprehensive mail distribution, customer service, and administrative coordination that ensures accurate mail delivery, operational efficiency, and customer satisfaction across integrated facilities management environments.

What your day-to-day will look like:

  • Receive and accurately sort all incoming mails daily (except package) while recording key information of all incoming mails and outgoing mails accurately
  • Distribute mails to appointed staff while picking up outgoing mails from mail room timely for delivery and ensuring comprehensive mail coordination
  • Answer customer calls and questions regarding mails tracking, chasing and more while providing comprehensive customer service support for mail-related inquiries
  • Check billing with related vendors on monthly basis while making sure each receiver gets notice by phone and email every day for comprehensive coordination
  • Submit daily report to FC while managing stationary related management including goods order, monthly report, user record etc. for comprehensive administrative coordination
  • Accomplish other assignments from team leader while maintaining accuracy rate of mail delivery and accuracy rate of data entry for performance excellence
  • Ensure customer satisfaction while maintaining compliance with mail room procedure and supporting integrated facilities management operations coordination
  • Perform multitasking duties including delivering mail, collecting mail and answering questions all at the same time for comprehensive operational efficiency.

Required Qualifications:

  • Basic English is required with one (1) year of experience in office administration or mailroom function required for comprehensive mailroom operations coordination
  • Strong organizational and clerical skills in order to ensure that every package and letter is delivered to the correct individual on time
  • Basic computer skills for the purposes of data entry and reordering supplies as necessary while demonstrating strong professional and communications skills
  • Strong professional and communications skills for dealing with the post office and other employees within the facility for comprehensive stakeholder coordination
  • Ability to multitask and perform many different duties such as delivering mail, collecting mail and answering questions all at the same time
  • Understanding of incoming mails receiving and accurate sorting daily while demonstrating key information recording of incoming and outgoing mails accurately
  • Experience with mails distribution to appointed staff while understanding outgoing mails pickup from mail room timely for delivery coordination
  • Knowledge of customer calls and questions answering regarding mails tracking, chasing and more while understanding billing checking with related vendors monthly.

Preferred Qualifications:

  • Experience with daily report submission to FC while understanding stationary related management including goods order, monthly report, user record coordination
  • Knowledge of team leader assignments accomplishment while understanding accuracy rate of mail delivery and accuracy rate of data entry maintenance
  • Understanding of customer satisfaction ensuring while demonstrating mail room procedure compliance and integrated facilities management support coordination
  • Any equivalent combination of education, training and/or experience that fulfills the requirements of the position will be considered
  • Experience with post office coordination while understanding facility employees professional communications and comprehensive stakeholder management coordination
  • Knowledge of supplies reordering through computer skills while understanding data entry accuracy and mailroom operations efficiency coordination
  • Understanding of timely and efficient delivery achievement while demonstrating service levels and key performance indicators accordance for client sites support
  • Background in integrated facilities management mailroom services while demonstrating comprehensive mail coordination and customer service excellence across diverse client environments.
