The Opportunity:

MaineGeneral Health is seeking an LTC Operations Support Coordinator to provide operational, administrative, and programmatic support across our Long Term Care (LTC) services. This role serves as a key point of coordination for leaders, staff, and external partners, helping ensure smooth operations, effective onboarding, and compliance with required standards.
The LTC Operations Support Coordinator plays an important role in supporting day-to-day operations, strengthening relationships, and ensuring assigned programs and practices are coordinated, monitored, and documented effectively.

Job Description:

What You’ll Do:
  • Serve as a resource to Long Term Care leaders, staff, and external partners, working collaboratively to identify needs, build relationships, and support effective operations and onboarding experiences.
  • Receive, respond to, and route inquiries in a timely and professional manner, escalating through appropriate channels when needed to ensure resolution.
  • Coordinate the collection, validation, tracking, and maintenance of required compliance documentation, ensuring completeness and accuracy prior to final review or approval.
  • Support the coordination, execution, and monitoring of assigned programs, initiatives, and operational practices within Long Term Care.
  • Maintain organized records, trackers, and documentation to support compliance, reporting, and operational continuity.
  • Prepare correspondence, forms, reports, and other written communications to support leadership, operational needs, and ongoing initiatives.
  • Assist with scheduling, meeting coordination, follow-ups, and action tracking to support leaders and workgroups.
  • Identify process gaps, recurring issues, or opportunities for improvement and communicate observations to appropriate leaders.
  • Support cross-departmental coordination by working with clinical, operational, HR, finance, and other internal partners as needed.
What You’ll Bring:
  • Experience in healthcare operations support, administrative coordination, or program support, preferably in Long Term Care or a related healthcare setting.
  • Strong customer service orientation with the ability to support leaders, staff, and external partners professionally and effectively.
  • Excellent organizational skills and attention to detail, particularly with documentation and compliance materials.
  • Ability to manage multiple priorities, track tasks, and follow through in a fast-paced environment.
  • Strong written and verbal communication skills, including experience preparing correspondence, forms, and reports.
  • Comfort working collaboratively across teams and navigating established processes and escalation pathways.
