About this role:

The Lease Administrator will oversee all Global Real Estate property leases at Gartner.  The position will manage the Global Lease administration process for Gartner including the lease document review, lease abstracting, lease reporting, lease database entry and updates.

Responsibilities:

  • Responsible and accountable for review and accurate lease abstracts of all fully executed lease documents, amendments, and license agreements into the lease management system

  • Distribute in a timely manner finalized lease information and documentation to appropriate parties

  • Review and verify renewal notices and commencement agreements and timely update the lease management system accordingly

  • Review and confirm that dollars agreed to in LOI’s have been translated accurately into lease documents. Proofread drafts of legal documents

  • Manage lease options and encumbrances with lease management database.

  • Point-person lease management system inquiries.

  • Assist with lease research for pending deals, leasing reports, tenant buyouts, and/or early terminations as necessary

  • Participate in development of various policies and procedures pertaining to lease administration and the leasing software

  • Timely and accurate preparation of monthly, quarterly, annual and ad hoc reports

  • Track real estate tax reconciliations, percentage rent and security deposits and report accordingly with Finance

  • Manage sublease tenant invoicing and payment

  • Responsible for managing and processing North America rent payments

  • Assist with new business presentations as necessary

  • Manage lease reconciliation efforts with landlords and service providers

  • Create vendors in COUPA

  • Purchase order creation in COUPA

  • Process invoices in COUPA

  • Reconcile purchase orders and rent payments both for Gartner and Gartner’s subtenants

Requirements:

  • Bachelor's degree in business administration, finance or legal.

  • Minimum 2-3 years experience with a leasing administrative role.

  • Strong attention to detail.

  • Excellent written and oral communication skills.

  • Demonstration of proficiency in PowerPoint and Excel.

  • Outstanding organizational, time management and analytical skills.

  • Strong administration.

  • Ability to deal with confidential information appropriately.

  • Demonstration of effective interpersonal skills working with others.

  • Self-motivated individual that shows initiative.

  • Demonstration of problem solving, decision making and resolution skills.

  • Functional knowledge of Visual Lease or similar lease administration database.
