Job Summary: The Primary purpose of this position: To Lead and perform a variety of administrative and clerical duties associated with the determining eligibility, receiving, patients in support if Veterans treatment in the Mental Health (MH) Services. The Organizational location of the position: VA North Texas Health Care System (VANTXHCS) Dallas, Fort Worth or the Community-Based outpatient clinics to include Bonham, Grand Prairie, Tyler, Garland, Plano and Denton.

Major Duties:

  • Duties include but are not limited to: Monitors and generates work assignments. Provides input on performance, resolve daily workplace issues and maintains efficient workflow. Covers all areas of responsibility. Conducts ongoing reviews to ensure quality of work, ensures accurate and timely scheduling of appointments. Provides guidance to staff members to include changes in policies and procedures. Distribute and balance workload Creates and maintains employee work schedules Provides on the job training for new and current employees; ensures all training requirements are met. Organizes work structure of assigned areas, acts as liaison between MSA and staff in order to resolve day-to-day conflicts. Provides information to Supervisor as requested concerning promotions, reassignments, recognition of outstanding performance and personnel needs. Maintains current and relevant knowledge, responds to inquiries of other employees o procedures, polies and directives. Research information as needed to aid supervisor to make informed decisions. Keeps in touch with status and progress or work, make day-to-day adjustments IAW established priorities. Seeks assistance from Supervisor on unforeseen problems such as backlog or workload which cannot be disposed of promptly. Estimates and reports on expected time of completion of work; maintain record of work accomplishments and time expended. Prepares production reports as needed. Amends or rejects work not meeting established standards. Informs employees of available services and employee activities. Resolves simple, informal complaints of employees and refers to others to Supervisor. Other duties as assigned. Work Schedule: Monday - Friday 7:30 am to 4:00 pm Recruitment Incentive (Sign-on Bonus): Not Authorized Permanent Change of Station (Relocation Assistance): Not Authorized Pay: Competitive salary and regular salary increases When setting pay, a higher step rate of the appropriate grade may be determined after consideration of higher or unique qualifications or special needs of the VA (Above Minimum Rate of the Grade). Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year) Selected applicants may qualify for credit toward annual leave accrual, based on prior [work experience] or military service experience. Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child. Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66. Qualifications: Basic Requirements: United States Citizenship: Citizen of the United States. (Non-citizens may be appointed when it is not possible to recruit qualified citizens in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.g.) Experience and Education. (1) Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, (2) Education. High school diploma with desire for some post high school education; OR, (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: GS-07: Lead Medical Support Assistant. One year of experience equivalent to the GS-06 grade level. Experience equivalent to the GS-06 grade level includes: Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. Skill in communicating with individuals to obtain the desired effect, ensuring compliance with established policies and regulations. Ability to provide staff development and training. Ability to manage staffing requirements, manage priorities, and coordinate with staff in the unit in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work. Ability to review and monitor data to ensure all reports are complete and accurate. Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below: i. Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources. ii. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting. iii. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. iv. Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff. v. Ability to provide staff development and training. Preferred Experience: Competent with basic data management skills, especially with closing open encounters using VistA and CPRS ADPAC support services to include PIV sponsorship Advanced healthcare administrative technical skills to schedule, cancel, and delete appointments in VistA.
