Office Assitant

The team

The Norton Rose Fulbright Luxembourg office, which was set up in June 2017, consists of a dynamic and enthusiastic team working closely with our more than 50 offices globally and offers employees and associates the opportunity to play an integral part in consolidating the office’s presence within the Luxembourg market.

Our team is made up of experienced and multilingual lawyers with extensive knowledge of the Luxembourg legal and regulatory environment and covers the firm’s core practices, including corporate/M&A, investment funds, banking and finance, real estate, and cross-border tax planning.

Availability, quality and responsiveness are the hallmarks of our team.

The position

We are seeking a highly organized and motivated Junior Office Assistant to support our administrative and human resources functions. The ideal candidate will be detail-oriented, proactive, and possess excellent communication skills. This role is perfect for someone looking to grow their career in office administration and human resources.

Key responsibilities

Office Administration

  • Provide general administrative support including filing, data entry, and handling correspondence (emails, letters, phone calls)
  • Assist in scheduling meetings, appointments, and maintaining calendars
  • Manage office supplies inventory, place orders, and ensure the office environment is tidy and well-organized
  • Prepare, proofread, and edit documents, reports, and presentation
  • Greet and assist visitors, ensuring a positive and professional experience
  • Operate and maintain office equipment such as printers and copiers
  • Ordering of supplies, lunches, groceries, etc.
  • Managing vendor invoices (validation and upload into Chrome River)
  • Liaising with suppliers, vendors, landlord and maintenance team
  • Point of contact of IT matters and liaising with our Benelux IT team
  • Liaising with business services teams based in other international Norton Rose Fulbright offices (e.g., marketing, compliance, IT and finance teams)
  • Filing and archiving
  • Assisting with on- and off-boarding of staff members
  • Assisting with office events
  • Assisting team members with ad hoc requests

Human Ressources Support

  • Assist with the recruitment process including posting job advertisements, scheduling interviews, and coordinating candidate communications
  • Support the onboarding process for new employees, including preparing welcome materials and assisting with orientation sessions
  • Maintain HR records and employee files, ensuring accuracy and confidentiality
  • Assist with payroll preparation by providing relevant data and documentation
  • Help organize and execute company events, training sessions, and employee engagement activities
  • Respond to basic employee inquiries regarding HR policies and procedures

Skills and Experience Required

  • 0 to 1 years’ experience in a similar position ideally within a law firm
  • Bachelor’s degree or equivalent; certification in Office Administration or Human Resources is a plus
  • Excellent communication skills in French and English, both written and verbal
  • Proficient in Microsoft Office, with a strong ability to learn and adapt to new software applications quickly and efficiently
  • Self-starter who takes initiative and has willingness to learn
  • Strong work ethic and positive attitude
  • Excellent organizational skills and attention to detail
