Position Summary

The Jr. Relocation Project Management (RPM) Planner serves as the planning representative between Corporate Real Estate & Workplace Services (CREWS) and business units. This role is responsible for client partnership, managing workplace planning initiatives, supporting project execution, overseeing space planning requests, and ensuring alignment with organizational standards, budgets, and compliance requirements. The Jr. RPM Planner partners cross-functionally to deliver space solutions that meet business needs while optimizing workplace efficiency and adherence to company processes.

Essential Duties and Responsibilities

RPM & Workplace Planning

●      Serve as primary planning liaison between CREWS and business stakeholders.

●      Understand client business needs and verify project requirements.

●      Validate work orders and project requests with Real Estate Advisory and CREWS teams

●      Coordinate all requests with OP/WPS to confirm workplace alignment

●      Manage and track customer workplace requests including but not limited to:

○      Conference room setups

○      Special workspace configurations

○      Decommissioning (decoms)

○      Moves, furniture swaps, and reconfigurations

○      Executive support and special requests

●      Support migration planning and workplace change initiatives, while coordinating with OP:

○      Room function changes

○      Workstation conversions

○      Capacity changes (supply/demand)

●      Participate in WP planning (Strategic Brief & Test Fit Validation)

●      Planning POC to Function POC

●      Build and maintain strong client relationships to include proactively assisting in achieving business objectives

Project Management

●      Collaborate with requestors and Function Strategic Business Partners to define project scope.

●      Consult with MM for scope completion

●      Utilize established funding processes (PSW) to secure funding approvals.

●      Establish project timelines, meetings and milestones to include project stakeholder/SME meetings.

●      Source and secure all vendors, POCs, and additional resources.

●      Manage all plan and budget approvals.

●      Create a project packet for review and hand off to MM for implementation to include but not limited to:

○      SOW, before and after plans, move lists, etc

●      Ensure compliance with corporate standards and local building codes.

●      Support cross-team collaboration throughout the project lifecycle.

●      Manage project follow up and close out process to include closeout of all POs and

●      Assist with any purge/clean up efforts

 

Space Planning (WO or Project Requests)

●      Review and validate detailed programming requests

●      Complete test fits and special requests within team allocations

●      Develop final scope of work and executable documentation (working drawings)

●      Manage full RFP process for moves and decoms

●      Submit/request labor POs from Finance (E1 or USAA)

●      Coordinate with SMEs for low voltage requirements

●      Support room and workstation planning, including signage and workplace standards.

Administrative & Operational Support

●      Weekly updates to the front door, Maximo queue, and Archibus queue

●      Manage IT and AV engagement processes.

●      Train existing and new Move Coordinators in their roles and responsibilities

●      Coordinate client requests partnering with AV, Minor Construction, and Security teams as needed to include:

○      Conference room/office modifications, including room renumbering, furniture reconfigurations, privacy enhancements, and AV upgrades.

○      Security card reader requests, installations or changes.

●      Request badge access to secure areas for Move Managers & Vendors.

●      Conduct Move Coordinator Training and Lessons Learned Reviews.

●      Support Artwork Requests

●      KPI and CSAT follow up

●      Lessons learned review

●      Other duties as assigned

Tools and Process Dependencies

●      Maximo (work order coordination)

●      Archibus (move submission and planning)

●      Go/rpmrequest (front door intake)

●      Project Scope of Work (PSW Box funding approval process)

●      IT and AV Support Engagement

●      Minor Construction Process

●      Campus Occupancy Planning (COP)

○      Workplace exceptions

○      Room function or name changes

○      Seating capacity changes

○      Test fit by OP

○      Advise OP Team Level Allocations

 

Education and Experience

●      Bachelor’s degree in Architecture, Interior Design, Facilities Management, Business, or related field OR equivalent combination of education and experience

●      0-2 years of experience in space planning, workplace strategy, facilities, or project management.

●      Experience managing workplace moves, adds, and changes (MAC).

●      Experience in corporate real estate environments.

Required Skills and Abilities

●      Knowledge of building codes and workplace standards.

●      Familiarity with AutoCAD, space planning software, or IWMS platforms.

●      Proficiency in planning tools and space management systems.

●      Strong organizational and communication skills.

●      Understanding of project lifecycle management and budgeting processes.

Work Environment and Physical Requirements 

●      Primarily office-based in a corporate environment with regular interaction across departments.

●      Periodic on-site presence in active construction or renovation areas.

●      Fast-paced environment with multiple concurrent projects and shifting priorities.

●      Ability to sit or stand for extended periods while working at a computer.

●      Frequent walking of office floors and facilities to conduct space reviews, site walks, and project assessments.

●      Ability to travel between buildings or campus locations as needed.

●      Occasionally lift and/or move items up to 25 pounds (e.g., plans, small furniture pieces, materials).

●      Ability to access construction or renovation areas, which may require personal protective equipment (PPE).
