Calling all IT Business Administrators - are you ready to help support a fast-paced IT Team with general administration, invoicing and working with external vendors?

The IT Business Administrator will have the opportunity to work within and support a team that oversees our internal IT systems, infrastructure and cybersecurity.

With a focus on: invoicing and (non-technical) management of enterprise SaaS applications, procurement of technology/IT assets and general admin support for our IT team, you will help build out new processes and identify areas of improvement for existing processes.

Your role with us:
Your mission should you choose to accept it, will be to create an impact at Easygo as part of our collaborative IT Team. You will work closely with internal stakeholders from across the whole organisation including Finance and Workplace Experience, and also interface with external stakeholders including: vendors, SaaS organisations and IT service providers. We're looking for someone with exceptional communication and organisational skills, an eye for detail and a proactive mindset.

What you will do:

Procurement, Vendor & Financial Management

  • Manage IT purchase requests and procurement workflows end-to-end.
  • Liaise with vendors to secure accurate quotes, timely deliveries and strong commercial relationships.
  • Partner with Finance and Legal on contract renewals, purchase approvals and vendor agreements.
  • Track IT spend and maintain clear records of purchases and commitments.
  • Manage IT invoice tracking and work with Finance to ensure timely payment and reconciliation.

SaaS & Licensing

  • Administer SaaS contracts, licensing, usage and expenses across the IT portfolio.
  • Monitor software spend and consumption to optimise licensing and reduce waste.
  • Coordinate timely renewals, licence adjustments and deprovisioning with IT leadership and stakeholders.
  • Analyse licensing and usage data to support renewal negotiations with internal and external stakeholders.

Asset & Inventory Management

  • Maintain the IT asset register with accurate records of issued, returned and decommissioned hardware.
  • Monitor stock levels for IT equipment and accessories, raising orders when needed.
  • Coordinate and conduct regular stocktakes to ensure inventory integrity.

Employee Lifecycle Support

  • Streamline onboarding communications between HR and the IT Support team so new starters are set up efficiently and on time.
  • Support internal moves, role changes and offboarding by confirming key dates with stakeholders and ensuring IT Support completes provisioning and deprovisioning promptly.

Administrative & Documentation Support

  • Provide general administrative support to the IT team, including calendar coordination and documentation upkeep.
  • Book meetings and follow up on action items.
  • Create and maintain process documentation, workflows and standard operating procedures to support consistency and knowledge sharing across the team.
  • Assist in the coordination and execution of internal IT projects and initiatives.

Global Coordination

  • Liaise with Easygo's global offices to coordinate procurement, support employee lifecycle activities and provide general IT administrative assistance across international locations.

What you will bring:

Essential experience

  • 3+ years in an administrative, back office or finance role
  • Working knowledge of financial processes (e.g. invoicing, purchase orders, reconciliation)
  • Experience in procurement, vendor coordination or invoice management
  • Experience managing records, tracking inventory or maintaining registers
  • Excellent stakeholder management, including confident liaising with stakeholders at all levels of the business
  • Exposure to IT operations or working closely with technical teams
  • Proficient with Google Suite (Drive, Spreadsheets, Docs), Slack & Jira (or similar)

Bonus points if you also have:

  • Experience administering SaaS contracts, licensing or software renewals
  • Experience using Jira, Confluence or similar project/task tracking tools
  • Previous experience in an IT department or technology-focused environment
  • Streaming, Sports & Gambling knowledge advantageous
  • Cryptocurrency knowledge would be advantageous
