Job Description:

The IT Administrative Coordinator provides administrative and operational support to ensure the smooth day-to-day functioning of the IT department. This role supports planning, coordination, reporting, and communication activities across multiple workstreams, helping the department operate efficiently and effectively. The IT Administrative Coordinator will support the CIO with calendar management and provide administrative support to members of the IT leadership team, including scheduling, expense submissions, invoicing, and contract processing.

What You'll Do:

  • Administrative Support

  • Manage calendars, schedule meetings, and coordinate logistics for the CIO, IT leadership team, and department events.

  • Prepare agendas, presentations, and meeting materials; take and distribute meeting notes as needed.

  • Submit, track, and reconcile expense reports, purchase orders, contracts, and invoices on behalf of the IT leadership team.

  • Maintain accurate records of contracts, ensuring timely submission, routing, and renewals.

  • Maintain department records, contracts, files, and databases with accuracy and confidentiality.

  • Operational Coordination

  • Coordinate execution of department initiatives, communications, and special projects.

  • Support procurement, contract management, and vendor coordination processes, including vendor onboarding and SLA adherence.

  • Communication & Collaboration:

  • Act as a liaison between internal departments and external partners to ensure timely follow-up and alignment.

  • Support internal communications, announcements, and document distribution.

  • Plan and execute department meetings, training sessions, and team events.

What We're Looking For:

  • Associate’s or Bachelor’s degree in Business Administration, Operations Management, or related field preferred.

  • 5+ years of experience in administrative, operational, or coordination roles (corporate or team-based environment).

  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Teams) and comfort with digital collaboration tools (SharePoint, Smartsheet, Asana, etc.).

  • Strong written and verbal communication skills.

  • Excellent organizational skills, attention to detail, and ability to prioritize competing deadlines.

  • Professional discretion and ability to handle confidential information.
