POSITION: Inventory Specialist
DEPARTMENT: Buildings and Grounds
WORK SCHEDULE: 7:00 a.m. - 3:30 p.m., M-F
STATUS: Full-time
FLSA STATUS: Non-exempt
HOURLY RATE: $30.8660 per hour

Incumbent serves as Inventory Specialist for Hamilton County Buildings and Grounds Department, responsible for maintaining inventory supplies and deliveries.
DUTIES:
Oversees warehouse maintaining a semi-truck load of paper materials, along with bottled water, copy paper and emergency supplies.
Maintains stock of routinely purchased supplies and parts, ordering and purchasing additional stock as needed. Compares prices from vendors for purchases.
Prepares purchase orders for materials based on item specifications provided by the Purchasing Department.
Assists with inventory audits ensuring that items are accurately counted and recorded.
Communicates with suppliers and department heads to ensure materials are available in a timely manner.
Receives and stores incoming goods, recording the inventory then storing in proper locations.
Tracks invoices from suppliers for payment.
Maintains records of inventory levels and other supply data such as prices and quantities used or available on Maintain X software database.
Ensures supply deliveries to all facilities.
Operates forklift and pallet jack as necessary.
Ensures cleanliness and proper organization of warehouse.
Files product requisitions and order forms.
In addition to inventory responsibilities, the Inventory Specialist may assist the Maintenance team with a variety of routine facility and grounds tasks as assigned. Examples may include basic landscaping or groundskeeping support, minor building repairs, preventive maintenance activities, equipment or systems checks, and general upkeep of facilities. The role may also assist with vendor or contractor access, recordkeeping related to maintenance activities, and other duties necessary to support safe and efficient facility operations across multiple facility locations at any given time.
Maintains communication with Buildings and Grounds Superintendent and Assistant Buildings and Grounds Superintendent regarding projects, and repair supplies and parts, as needed.
Assists in maintaining detailed records regarding maintenance activity as required.
Serves on 24-hour call for emergencies.
Performs related duties as assigned.
As a result of the duties associated with this job, there is the potential of becoming exposed to bloodborne pathogens and other potentially infectious diseases. To safeguard employees and eliminate the liability placed on Hamilton County, employees working in this position are required to complete the Hep B series as a condition of employment. The initial and two subsequent vaccinations shall be administered by the Hamilton County Health Department and free of charge to the employee. If the employee has previously received the three-shot Hepatitis B vaccination, official documentation must be provided to the supervisor identifying the dates in which each shot was appropriately administered. A Temporary Medical Declination may be made for a period of up to six months. A Declination form must be completed, outlining the medical reasons for the temporary declination and forwarded to the Safety & Risk Manager. Employees temporarily declining the vaccine are prohibited from performing any duties in which they may be exposed to a blood borne pathogen or other potentially infectious disease until they are able to begin/continue the series of vaccinations. Failure to comply will result in termination of employment.
I. SKILLS AND KNOWLEDGES:
High school diploma or high school equivalency. A minimum of ten (10) years of supplies and inventory experience preferred.
Ability to meet all department hiring and training requirements, including forklift and safety training.
Working knowledge of and ability to make practical application of Department safety policies and procedures, including OSHA guidelines.
Working knowledge of office policies and procedures with computer skills, including word processing, spreadsheet, email and internet, and Department specific software systems, and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.
Working knowledge of basic filing systems and ability to create and maintain Department files and records.
Working knowledge of standard English grammar, spelling, and punctuation, with ability to prepare detailed reports.
Ability to properly operate forklift and pallet jack.
Ability to physically perform assigned duties, including standing/walking for long periods, sitting and walking at will, walking on uneven terrain, pushing/pulling/lifting/carrying objects weighing more than 100 pounds, reaching, bending, hearing sounds and communication, speaking clearly, crouching/kneeling, close and far vision, depth perception, handling/grasping/fingering objects.

II. RESPONSIBILITY:
Incumbent performs duties with work schedules and priorities determined by supervisor. Assignments and objectives are set jointly by incumbent and supervisor. Decisions are always determined by specific instructions or existing, well-established policies, procedures. Errors are primarily detected or prevented through standard bookkeeping checks. Undetected errors could result in inconvenience to other agencies and the public.
III. PERSONAL WORK RELATIONSHIPS:
Incumbent communicates with co-workers, other County departments, vendors, and the public for purposes of exchanging information and rendering service.
Incumbent reports directly to Building and Grounds Superintendent.

V. WORKING CONDITIONS:
Incumbent performs duties in a warehouse working in noisy areas, and exposure to cleaning, equipment such as forklift and pallet jack, dust, dirt, and fumes. Safety precautions must be followed at all times to avoid injury to self and others.
Incumbent is occasionally required to work extended, weekend and/or evening hours.
