Internal Event Leader - Ghent Campus

Purpose of the Role

The Internal Event Leader – Ghent Campus is responsible for designing, planning, and executing high-quality internal events that foster community, engagement, and cultural alignment across the Ghent Innovation Hub. In this role, you will provide leadership to the internal events community, help shape long-term strategy, and ensure flawless on-site operational delivery.

Key Responsibilities
 

Internal Event Strategy & Delivery

  • Develop and implement a long-term internal event strategy aligned with culture and engagement priorities.
  • Ensure oversight and alignment on the delivery and execution of global and local Ghent Campus events, including town halls, celebrations, leadership meetings, team-buildings, and corporate updates.
  • Partner with business owners and their respective administrative support teams to design content, run-of-show, and speaker briefings.
     

Logistics & Operational Coordination

  • Oversee full logistical planning: venue setup, catering, AV, signage, registration, and on-site support.
  • Coordinate contracts, bookings, vendor management, purchase orders, and invoicing.
  • Maintain strong vendor relationships and apply onsite-first internal meeting policies.
     

Leadership & Team Management

  • Lead, mentor, and develop the Ghent internal events team, ensuring collaboration, high performance, and service excellence.
  • Assign responsibilities and manage workload distribution across multiple events.
  • Provide direction, timeline oversight, and escalation support throughout all planning cycles.
     

Quality, Compliance & Risk Management

  • Ensure events meet quality standards and comply with internal policies and procurement guidelines.
  • Drive continuous improvement through structured feedback loops and process enhancements.
     

Budget Planning & Financial Oversight

  • Build, maintain, and monitor event budgets.
  • Track spending versus forecasts and prepare accurate reconciliations.
  • Oversee procurement workflows and invoice management.
     

Stakeholder & Communications Management

  • Collaborate with the Corporate Affairs team to support branding and messaging.
  • Serve as the point of contact for internal stakeholders requesting event support.
  • Coordinate with regional and global event teams to ensure consistency and alignment.
     

Co-creation with the Ghent Admin Team

  • Align closely with the global admin and facilities community on space availability, room setup, and operational planning.
  • Engage in joint concept development, workflow design, and co-owned planning sessions.
  • Ensure transparent, continuous communication throughout all stages of the event lifecycle.
  • Leverage admin knowledge of the campus and stakeholders to optimize efficiency and attendee experience.
  • Conduct shared debriefs, follow-up actions, and improvement cycles as a unified events ecosystem.

Qualifications

  • Bachelor’s degree in Event Management, Hospitality, Business Administration, Communications, or a related field.
  • Proven experience (10+ years) leading event teams and delivering internal events.
  • Experience in a global, fast-paced environment is preferred.
