About the Role

Provide assignment purpose/objective connected to a business task/challenge.

Agency office: Create a standardized project management monitoring report and office management forms that may be used by the business unit
(From email approval until Ariba approval documentation).

Licensing: To assist the licensing team by streamlining workflows, enhancing documentation accuracy, and applying critical thinking to identify operational gaps and improvement opportunities, while developing practical procedural improvements

Agency Office:

  • The standardized forms will provide accurate and single source for any office related requests and works

  • Improves tracking and monitoring of projects across various offices

  • Assist in the follow ups and follow through requirements to complete agency office management

Licensing:

  • Process Improvement

  • Map current licensing workflows (intake → verification → submission → approval) and identify bottlenecks, duplicate steps, and handoff risks.

  • Build or refine existing trackers/dashboards to monitor SLA adherence.

  • Help create templates/checklists that reduce rework and enhance first-time-right compliance.

  • Create TIM studies to assist in backend improvement initiatives

  • Documentation
    a)   Maintain a clean document control structure (versioning, naming conventions, archive rules) in SharePoint/OneDrive/Teams
    b)  Draft and update SOPs, Work Instructions, RACI matrices, and process maps
    c)   Ensure data integrity across trackers and systems; reconcile discrepancies and log corrective actions
    d)  Support audit readiness: compile evidence packs, trace approvals, and ensure records meet retention requirements.

  • Critical Thinking
    a) Review requirements from regulators; summarize implications and recommend action steps
    b) Validate data from multiple sources (internal systems, forms, regulator portals) before submission
    c) Prepare concise memos highlighting risks and recommended decisions.

  • Project Management
    a) Support the planning and execution of licensing projects (e.g. onboarding, renewals, system updates)
    b) Maintain project plans, timelines, risks/issues logs, and stakeholder updates
    c) Track deliverables, follow up on action items, and prepare weekly status reports
    d) Assist with UAT for tool/process changes; capture feedback and manage defect lists.• Develop and implement policies and procedures to support sales processes
    • Calculate sales achievement, maintain information of sales activities and sales performance metrics
    • Analyse sales performance for the development of sales plans and forecasts
    • Administer agency compensation, awards and benefits
