Senior Administration Assistant - Institutional

The Institutional Administration Assistant provides high‑quality administrative and operational support to the Institutional Distribution team. The role supports Relationship Managers and institutional leadership by coordinating meetings, managing logistics, maintaining team cadence, and ensuring day‑to‑day operations run smoothly.  This is a trusted, hands‑on role requiring strong organisation, sound judgement, and the ability to manage multiple priorities in a fast‑paced, client‑focused environment.  

Key Responsibilities:

Executive & Team Support

  • Provide day‑to‑day administrative support to the Institutional team, including calendar management, meeting coordination and follow‑ups.

  • Support senior leaders with scheduling, preparation and coordination of internal and external commitments.

  • Act as a central point of contact for the Institutional team, partnering closely with Sales, Marketing, Client Services and Distribution colleagues.

Meeting & Client Coordination

  • Coordinate client, consultant and internal meetings, including room bookings, technology, catering and access requirements on and offshore

  • Prepare and distribute agendas, meeting materials and follow‑up actions where required.

  • Support team offsites, workshops and onsite days, ensuring smooth planning and execution.

Operational & Process Support

  • Assist with action tracking, follow‑through and regular team meeting cadence.

  • Support upkeep of shared materials, trackers and documentation (e.g. SharePoint, OneDrive, CRM-related admin tasks as required).

  • Identify opportunities to improve administrative processes and support consistent ways of working across the team.

Stakeholder & Relationship Management

  • Build strong working relationships with internal stakeholders and key external partners.

  • Handle sensitive information with discretion and professionalism.

  • Provide reliable, responsive support to help the Institutional team operate efficiently and professionally.

Skills & Experience:

Essential

  • Experience in an administrative, coordination or executive support role.

  • Strong organisational skills with excellent attention to detail.

  • Confident, clear communicator comfortable working across senior stakeholders.

  • Ability to manage competing priorities and adapt to changing requirements.

  • Strong working knowledge of Microsoft Outlook, Teams, Word, Excel and SharePoint.

Desirable

  • Experience supporting sales, distribution or client‑facing teams.

  • Exposure to a financial services or funds management environment desirable.

  • Experience supporting recurring meetings, action tracking and team cadence.
