Human Resources Coordinator (Payroll Specialist)

Job Description:

The Human Resources Coordinator (Payroll Specialist) reports to the Human Resources Senior Manager and serves as an integral member of the Human Resources department. This position is responsible for the integrity of the full monthly payroll cycle in Spain, guaranteeing regulatory compliance and delivering a high standard of service across the organization.


Responsibilities Include:

  • Manage the full end-to-end monthly payroll process for Spain-based employees. Key responsibilities include data collection and monthly updates, IRPF withholding adjustments, and CRA file management. Perform social security reconciliations (General Regime and non-remunerated interns) using core platforms including SAGE, Netcontrata, Optima, Sistema RED, Contrat@, and SILTRA, as well as generating bank files for payroll payments.

  • Manage terminations and settlements, Social Security enrollments and withdrawals, and payroll adjustments. 

  • Oversee medical leave processes (Incapacidad Temporal or Accidente Laboral) by ensuring accurate and timely communication with the INSS and the Mutua. Responsible for synchronizing these updates with the monthly payroll to ensure correct benefit calculations and statutory compliance.

  • Draft and register employment contracts and amendments (addenda) with the SEPE (Public State Employment Service), ensuring all documentation complies with Spanish labor regulations.

  • Serve as the first point of contact for Payroll inquiries (payslips, deductions, taxes, and benefits), providing clear and timely support.

  • Manage mandatory Personal Income Tax filings (Forms 111, 190, 216, and 296) and collect employees’ personal tax information as reported through Form 145.

  • Ensure compliance with specific tax regimes, including the Special Expats Tax Regime (Beckham Law) and non-resident tax obligations.

  • Identify and implement processes and automation improvements to enhance efficiency.

  • Collaborate with HR, Finance, and Legal teams to ensure seamless integration and compliance across all systems.

  • Stay current on Spanish payroll regulations and industry updates to ensure compliance and accuracy.

  • Perform comprehensive documentary analysis and verification of work permits for international candidates. Ensure all pre-employment documentation meets Spanish legal requirements prior to finalizing any hiring commitments.

  • Other departmental duties as assigned.


Qualifications

  • Diploma or Certification in Advanced Payroll and Social Security Management (or equivalent) is mandatory. Bachelor’s degree in Labour Relations, HR, Law, or a related field is preferred.

  • At least 3 years of experience in Spanish payroll and compliance. Experience in companies with a large volume of part-time contracts is highly preferred.

  • Proficiency in SAGE or another cloud-based payroll solution.

  • Native-level fluency in Spanish (written and verbal)

  • Strong English communication skills (minimum B2)

  • Demonstrate a strong ability to analyze and apply the provisions of the company’s applicable Collective Bargaining Agreement (Convenio Colectivo). Requirement to stay current with any legal updates or amendments to ensure all internal policies and payroll practices remain fully compliant with the latest regulations.

  • Strong Excel skills and comfort in analysing and reconciling data.

  • Collaborative, adaptable, and continuously improving processes for efficiency and accuracy.

  • Analytical, detail-oriented and highly organised, with strong problem-solving skills.

  • Demonstrated capacity to support, develop, and maintain effective working relationships with individuals reflecting a broad range of identities, perspectives, and experiences.
