  • To Coordinate legally and company required training such as DC pension (to be completed before my departure), Disability Awareness in the Workplace(completed), sexual harassment prevention, etc.

  • Maintain a monthly headcount report for all employees, issue all HR related correspondences such as employment letter, earned business income letter, etc

  • Issue all HR related documents for employees and contingent workers and not limited to employment letter, earned/business income letter, etc.

  • Keep rules of employment and employee handbook up to date

  • To be able to handle full spectrum of HR functions that include, but not limited to, the administration of all statutory requirements.

  • Provide support and guidance to employees and leaders on HR policies and procedures, including disciplinary, investigation and grievance matters and ensuring the Company is in line with employment legislation and company policy.

  • Assist in reviewing, formulating and implementing HR policies & practices in line with employment legislation.

  • Liaise with internal / external auditor when there is HR related audits being conducted.

  • Highlight all irregular labour or Industrial Relations practices.

  • Keep up-to-date knowledge of employment law requirements to ensure that the Company remains compliant.

  • To monitor and follow up on contract ending /renewal and retirement notices.

  • Assist in employee confirmations, transfers and resignations.

  • Proactive in supporting and follow through the Company's Talent Management related initiatives.

  • Attend to all HR administrative and correspondences, internal and external.

  • Prepare letters such as Offer Letter, Contract Renewal Letter, Staff Verification Letter, and others as required.

  • Build trusted relationships and credibility within the team.

  • Be an enthusiastic team player with a strong drive to move the business forward.

  • Involve with HR special projects to support the ongoing demands of the business as well as the Company’s objectives.

  • Monitoring, reporting and provide suggestions based on the Company’s web-based employee engagement platform which has the pulse service system that helps capture employee feedback.

  • To undertake any ad-hoc project or any other related task that may be assigned to you from time to time.

  • Manage confidential and time sensitive materials including all employee records (physical & electronic), HR matters in accordance with federal, state& employment laws as well as liaising with regulatory bodies

 

 

  • Training and Development

    • Assess, initiate and organising identified learning & development courses for Leaders and employees as and when required.

    • Educating, promoting and conducting sessions to promote the Company’s web-based performance management and conversations platform.

    • Has passion in supporting HR Generalist in coordinating training for employees.

 

  • Employee Engagement and Wellness Initiatives

    • Responsible for employee event coordination and wellness initiatives.

    • Active member of Social Club that plans and organises for all employee engagement related activities/events.

    • Onboarding Process, Probationary Period, Staff Resignation and Exit Process

      • Collaborates with Leaders to understand skills and competencies required for job openings.

      • Responsible for partnering with the Talent Acquisition team in the end-to-end recruitment, selection, hiring, and onboarding of candidates.

      • Creating onboarding plans, facilitating to conduct new hire orientation, and educating newly hired employees on HR policies, internal procedures, and regulations.

      •  Conducting orientation and onboarding for non-leader position.

      • Responsible for the enrolment/termination of staff leave system and other benefits such as insurance .

      • Handle all related processes for employee resignation such as coordinating with managers on the next steps, managing the HR handover process, conducting exit interviews, etc.

      • Payroll and benefit administration

        • Collect payroll change evidences every month from various internal stakeholders, 1st review of payroll output by vendor, process payroll within the timeline, maintain payroll records, input the data on timely basis.

        • Run Compensation & Benefits programs such as earned/business income taxes, year-end tax settlement, merit increase, benefit programs, DC pension plan, payroll vendor, etc.

        • Prepare and mail (if necessary) payroll related documents for DC pension, student loan payment, social insurance, etc. and make monthly payments, implement medical check-ups, maintain C& B records & year end tax settlement

        • Assist on for monthly payroll and act as liaison with 3rd party vendor as to ensure payroll is paid on time and accurate which include statutory payments (if applicable ) for interns.

        • Reviewing & Liaising with leaders on all related payroll inputs.

        • Ensuring accurate and timely payment of monthly wages.

        • Manage the process and inquiries which related to salary and employee benefits (e.g. medical, insurance, leave, overtime, allowances, etc.).

        • Ensure employees salary & benefits data accuracy in the HR system.

        • Assist in yearly monetary rewards review process such as bonus, increment and promotion exercise.

        • Maintain and update employee personal files as well as ensuring proper documentation of HR processes and transactions related to payroll.

        • Administer leave management system for all employees.

        • Assist in any other HR related matters as and when required.

        • Group Medical & Insurance Coverage

          • Responsible for the staff enrolment/termination of Group Medical and Insurance Coverage Benefits and ensuring that the data is accurate and updated as per the respective system.

          • Attending to any employee request on any processes related to Group Medical and Insurance Benefits such as claims, etc.

          • Responsible for initiating and completing the yearly renewal process for Group Medical and Insurance Benefits for full time & contingent employees.

          • Reports & updates

            • Completing the relevant HR reports such as headcount report, staff listing, management meetings presentations, townhall slides, etc.

            • Document appropriate personnel changes and employee documentations for internal and compliance tracking.

            • To ensure that the HR database and personnel information is up to date (soft and hard copy).

          • Visa & Immigration Processes

            • Support for new hires including foreign instructors not limited to foreign workers’ Visa/ARC, travel/medical insurance introduction, etc.

            • Provide visa support by collecting required documents, submitting applications at the immigration office, and assisting with other visa-related processes as needed.

            • Monitor the Visa period and initiate renewal of Visa in a timely manner

      Qualifications and Skills:

       

      1.      Bachelor’s degree in Human Resources, Business Administration, or related field required.

      2.      Minimum of 4 to 6 years of related human resource experience is required.

      3.      Experience in managing payroll for a minimum of 2 - 3 years

      4.      Fast-paced, energetic, innovative, creative and works effectively in a team environment.

      5.      Good interpersonal skills, detail oriented, strong follow through, good time management, proactive, independent, hardworking and able to work with specific timelines according to the tasks.

      6.      Good team player that can work collaboratively with internal & external parties.

      7.      Customer oriented, able to manage employee queries and comfortable with administrative tasks related to HR operations.

      8.      Motivated and disciplined individual with initiative who can deliver results on-time and motivate others in a remote working environment.

      9.      Has excellent interpersonal and communications skills, both written and verbal, and the ability to develop strong working relationships at all levels both internally and externally.

      10.   Able to work effectively in a multi-cultural environment.

      11.   Ability to act with integrity, professionalism, and confidentiality.

      12.   Good knowledge of employment-related laws and regulations and having experience in Employee relations matters is an added advantage.

      13.   Computer proficiency with good ability to use Microsoft Office Products (Words, Excel, and PowerPoint) is important.

      14.   A collaborative, solutions-oriented approach and strong communication skills.

      15.    Ability to manage multiple demands on time and work with cross-functional teams.

      16.    A proactive way of working to serve customers with a “can-do” attitude.

      17.  Excellent communication skills both written and verbal (Korean and English) is a MUST
